Job Summary: The Property & Asset Management Coordinator will oversee, supervise, and coordinate all aspects of property and asset management in coordination with department managers. This role involves ensuring the effective and safe operation of all residential assets, adhering to financial guidelines, maintaining compliance with relevant regulations, and contributing to project management and preventive maintenance planning. The ideal candidate will be a hardworking professional with strong communication and interpersonal skills, capable of multitasking and problem-solving.

Key Responsibilities:

  • Regulatory Compliance: Maintain thorough knowledge of the Residential Tenancy Act, Fire Code, Property Standards, TSSA, and company policies to ensure full compliance.
  • Financial Oversight: Operate properties within the financial guidelines outlined in the annual operating budgets.
  • Document Management: Maintain and oversee the SharePoint document library and ensure organized and up-to-date records on building-related issues.
  • Maintenance Coordination: Implement preventive and predictive maintenance plans; conduct weekly property inspections; manage all building common area service requests and capital improvements.
  • Project Management: Organize projects and establish priorities in line with company objectives, ensuring adherence to schedules and quality standards as outlined by managers.
  • Policy Implementation: Coordinate policy changes as they are released corporately.
  • Vendor and Contractor Management: Develop and maintain relationships with contractors and service providers, oversee repairs and installations, and ensure code compliance.
  • Health and Safety: Collaborate with the Security, Health, and Safety team to ensure compliance with safety regulations and maintain environmental safeguards and alarm systems.
  • Customer Data Management: Enter, update, and maintain vendor information; monitor and report on estimates/actuals against the budget.
  • Purchase Request Coordination: Prepare purchase orders, coordinate divisional purchasing activities, and assist with RFP preparation.
  • Property Maintenance Support: Create, assign, and monitor divisional work orders; coordinate inventory control activities; and prepare maintenance reports.
  • Emergency Response: Assist in providing emergency or unscheduled repairs and ensure effective management of loss prevention, risk management, security, and other daily activities. Compile reports for insurance claim submissions in coordination with other departments.
  • Data and File Management: Maintain and monitor asset management documents, report on life of asset urgencies.
  • Purchase Request Coordination: Prepare and manage purchase orders, coordinate approvals, and assist with RFP preparation.
  • Property Maintenance Support: Manage work orders, inventory control, contractor service levels, and maintenance reports.
  • Health and Safety: Schedule and inspect fire code compliance, handle incident reporting, and resolve workplace inspection recommendations.

Skills and Qualifications:

  • Experience: 3+ years of experience in property management of a multi-family community is preferred.
  • Education: High school diploma or GED, or equivalent combination of education and experience.
  • Communication: Excellent verbal and written communication skills.
  • License: Clean driver's license and access to a vehicle.
  • Criminal Reference Check: Clean record.

People Leadership:

  • Assist the Property & Asset Management team in implementing and maintaining due diligence, including financial, administrative, and operational support.
  • Manage landlord and vendor relationships, ensuring compliance with service agreements.
  • Track and escalate service complaints, contributing to budget preparation, and ensuring accuracy of the portfolio database.
