The Administrative Assistant, Human Resources is responsible to provide support to the Human Resources Department with all aspects of the department including, but not limited to, recruitment, training, benefits coordination, HR metrics, training, and employee lifecycle.

More specifically, the Administrative Assistant, Human Resources must:

  • Own, manage and maintains the Human Resource Management system (HRMS) data so that information is accurate and continuously available throughout the employee lifecycles
  • Support the Human Resources Business Partner with all HR-related documentation including, employment agreement, annexes, communication to candidates, employment confirmation letter, leave of absence documentation, etc.
  • Ensure all HR related documentation is complete, maintain employee files and follow up on outstanding HR documents.
  • Support recruitment activities including, but not limited to, job postings, translation, screening resumes, background and reference checks, and preparation of employment agreement.
  • Manage HR Inbox and respond to employee queries and concerns or escalate when appropriate.
  • Support the administration of employee benefit programs, including health benefits, open enrollment, group pension plan, etc. if needed.
  • Collaborate with payroll on any time off report, pay & benefits related queries.
  • Assist with the reporting for payroll, absence tracking and ad-hoc reporting.
  • Assist with the development and maintenance of training programs within the HR department
  • Manage and improve key HR tools, processes and workflows to keep our HR department running smoothly
  • Participate in Human Resources projects and initiatives as assigned.

Le Adjointe administrative, ressources humaines est responsable de fournir un soutien à l'équipe des ressources humaines dans tous les aspects du département, y compris, mais sans s'y limiter, dans les activités suivantes : recrutement, formation, coordination des avantages sociaux, quotidien RH, et les actions en lien avec le cycle de vie des employés.

Plus précisément, le Adjointe administrative, ressources humaines sera responsable de:

  • Gérer et maintenir les données du système de gestion des ressources humaines (SGRH) afin que les informations soient exactes et disponibles en permanence à travers les cycles et l'évolution des employés.
  • Soutenir les Partenaires d'affaires ressources humaines avec toute la documentation liées aux ressources humaines, telle que les contrats de travail, les annexes, les communications aux candidats, les lettres de confirmation d'emploi, la documentation sur les congés, etc.
  • S'assurer que toute la documentation relative aux RH est complète, conserver les dossiers des employés et assurer le suivi des documents RH en suspens.
  • Soutenir les activités de recrutement, y compris, mais sans s'y limiter, les offres d'emploi, la traduction, la sélection des CV, la vérification des antécédents et des références et la préparation du contrat de travail.
  • Gérer la boîte de réception RH et répondre aux questions et préoccupations des employés ou faire remonter le cas échéant
  • Soutenir l'administration des programmes d'avantages sociaux des employés, y compris les avantages santé, l'adhésion ouverte, le régime de retraite collectif, etc., si nécessaire.
  • Collaborez avec la paie sur tous les rapports sur les congés, la paie et les avantages sociaux.
  • Produire les rapports RH pour la paie, les rapports de congés et les demandes de rapports ad hoc.
  • Aider au développement et à la maintenance des programmes de formation au sein du département RH
  • Gérez et améliorez les principaux outils, processus et flux de travail RH pour assurer le bon fonctionnement de notre service RH
  • Participer aux projets et initiatives de ressources humaines.


Profil recherché:

PROFIL RECHERCHÉ



Éducation 

  • Diplôme d'études collégiales en gestion des ressources humaines, en administration ou l'équivalent

Expérience 

  • Expérience en recrutement ou dans un département de ressources humaines sera considérée comme un atout
  • Expérience de travail avec un ATS et un système SIRH sera considérée comme un atout

Aptitudes et connaissances

  • Bilingue en français et anglais, écrit et parlé.
  • Bonne connaissance de MS Office (Excel, Word et Outlook)
  • Capacité à travailler dans un environnement dynamique et au rythme rapide
  • Autonomie et sens de l'initiative
  • En tant que membre clé de l'équipe RH, détenir un haut degré de confidentialité et de professionnalisme

IDEAL PROFILE


Education 

  • College Degree in Human Resources Management, Administration or equivalent

Experience 

  • Previous experience in Recruitment or Human Resources department will be considered an asset
  • Experience working with an ATS and an HRIS system will be considered an asset

Knowledge and skills

  • Bilingual in French and English and, both written and spoken.
  • Good knowledge of MS Office (Excel, Word and Outlook)
  • Ability to work in a fast paced and dynamic environment
  • Autonomy and sense of initiative
  • As a key member of the HR team, must have a high degree of confidentiality and professionalism
