Your Opportunity:

Screen Test provides screening mammography to approximately 14,000 women annually through clinics in Edmonton and Calgary and two mobile units which provide service to over 120 rural communities in Alberta. Screen Test is provincial in scope and the Screen Test Program Assistant is a provincial position which contributes to the overall success of all the Screen Test clinics and plays a pivotal role in ensuring smooth functioning of dynamic team processes.The Program Assistant reports to the Screen Test Manager and performs a full range of advanced level administrative duties to support the Manager and other members of the provincial and leadership teams. This includes coordinating meeting logistics, composing minutes, producing presentations, tracking expenses, processing invoices, and responding to inquiries, both internally and externally. The Program Assistant is involved in records management and composes reports, manages document tracking logs, maintains various manuals and completes logs for performance indicators. The Program Assistant provides human resources support acting as timekeeper, assisting in recruitment strategies, and maintaining confidential files and documents.The Program Assistant exhibits leadership skills by providing guidance to administrative staff, training staff on new procedures, resolving issues related to workflows, leading projects, and performing supervisory duties for the department in the absence of leadership team members. The Program Assistant supports clinical operations by overseeing the distribution of correspondence for patients with abnormal results. The Program Assistant has a strong understanding of Connect Care and creates/maintains reports in Connect Care, assists in developing and revising workflows, and resolves operational issues within the system.The Program Assistant is required to work on site.

Required Qualifications:

Completion of post-secondary education ( certificate in office or business administration).

Additional Required Qualifications:

The successful candidate must be able to take the initiative and be able to learn quickly to develop an in-depth understanding of site, business and program operations.The successful candidate will have three or more years of progressive experience in office/administrative positions, preferably in a medical and/or health care facility. Excellent computer skills in Adobe Acrobat, Power Point and Visio and an advanced level in Word, Excel, and Outlook is required.The successful candidate will have experience in the following:A leadership or supervisory role with demonstrated ability to coordinate effective change management. Working with confidential patient and human resources information and a solid understanding of HIA and FOIPP. Using a multi-line and web-based phone system. Using and troubleshooting issues with routine office equipment.The successful candidate must exhibit the following:Ability to work independently and with minimal supervision. Proven organizational and time management skills with the ability to effectively prioritize. -Critical thinking, decision making skills, and ability to effectively analyze issues and develop solutions on their own or in coordination with other partners. High degree of accuracy and attention to detail. Exceptional written and verbal communication skills including a professional telephone manner. Experience in facilitating adult education and training. A willingness to assist others.

Preferred Qualifications:

Assets that would complement the team include:Experience working with digital diagnostic imaging systems and workflows.Experience in Project Management. Training in medical terminology.Connect Care training in Breast Imaging Coordinator, Diagnostic Imaging Front Desk, DI Release of Information, Template Builder, Slicer Dicer and Workbench Reporting.
