Creative Services & Information Coordinator 

We thrive in knowing that fine art is an essential part of design, impacting the visual appeal and atmosphere of a space. We are one of the largest vertically integrated art companies in North America, specializing in art, wall-covering, mirrors and alternative wall décor. We manage every step within the art development and supply chain process - from art consulting, publishing and manufacturing. We work with designers on creating concepts for their projects collaborating with them on customized fine art options that perfectly accompany their project’s vision and budget. We work directly with artists, owning the rights to tens of thousands of images, while offering a high degree of innovation and customization. We manufacture in-house, which allows us to offer accessible prices, shorter lead times without uncompromising quality. We are a trusted partner of over 40 years, with leading international hotel brands and are familiar with managing their brand standards.

Under the direction of the Creative Director, the Creative Services & Information Coordinator oversees the project scheduling, time tracking and allocation of project requirements to art team members. 

Essential Functions:

  • Co-ordinates the company’s creative resources regarding custom project development, acts as liaison between the Design and Sales Departments
  • Supervises the implementation of all new projects, modifications and migrations.
  • Co-ordinates project activities throughout lifecycle, including the allocation of adequate resources, scheduling, documentation, budget, and other factors necessary for success.
  • Plans all project timelines, milestones, and deliverables updating changes in priorities on a daily basis via an excel spreadsheet/Monday.com.
  • Reallocates resources across multiple projects where necessary; identifies and resolves any resource allocation discrepancies.
  • identify potential resource constraints and work with teams to develop solutions
  • Monitors project timelines and adjusts staffing levels as needed to ensure on-time project delivery.
  • Consults stakeholder meetings to solicit feedback, input and expectations; incorporates these into project plans.
  • Negotiates with other business units to obtain required resources.
  • Overlooks image licensing requirements, sourcing, negotiating and verifying intellectual property requirements as needed on a project-by-project basis.
  • Manages image archive, ensuring all standards are adhered to ex. coding, archiving, project summaries.
  • Other duties as assigned my management. 

Education: Bachelor’s degree desirable; but equivalent work experience may be considered.

Experience: The ideal candidate will have 4+ years previous all-encompassing systems, process and people management experience inclusive of responsibilities included in the Job Summary. The ideal candidate will have a broad understanding of the hospitality art industry or similar

Knowledge, Skills and Abilities:

  • A self-starter with the ability to work independently without a significant supervision
  • Experience dealing with people (clients and team members) via telephone, email and online meetings
  • Experience in project management, resource allocation according to talent and time requirements
  • Excellent communication skills
  • Excellent attention to detail
  • Understands client relations and understanding of client needs or ability to clarify same

Software Application and Technical Knowledge:

  • Proficiency with Microsoft Suite – Office Professional specifically Excel, Sharepoint, Visio, MS Project, etc.
  • Proficiency with Monday.com, FileMaker Pro Database coordinator and Photoshop Illustrator is a plus.
