Job Summary

The School of Environmental Studies (SES) is a dynamic, interdisciplinary unit with a strong emphasis on community and problem-based learning and research. We offer a Double Major BA or BSc, an MA and MSc, a PhD, and (jointly with the Division of Continuing Studies) the Transformative Climate Action and Restoration of Natural Systems programs. The role of the Graduate Programs Administrative Assistant (GPAA) is central to the support of our graduate program, collaborating with the Administrative Officer and Graduate Advisor to maintain program excellence and enrich student experience. This position demands a detail-oriented approach to administrative tasks, extensive knowledge of university systems, and a high level of accuracy in record-keeping processes.

In addition, the GPAA provides operational and academic assistance, including receptionist support when necessary. This cross-functional position is integral to the seamless operation of the School's diverse academic and administrative activities, guaranteeing the delivery of high-quality programs and support systems.

Job Requirements

This position requires a level of education, training, and experience equivalent to 2 years of experience working within a comparable environment.

Knowledge/Skills/Abilities:

Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment Ability to build and maintain positive working relationships Experience composing various business communications such as emails, memos, and reports Ability to prioritize and manage time/tasks with attention to detail Demonstrated capacity for computer-based applications, including on-line database queries and reporting Proficiency with computer applications (i.e., MS-Office Suite, Adobe Create Suite, content management systems) Ability to navigate and troubleshoot online systems Ability to problem solve by using judgement, independent thinking and/or analysis Ability to communicate effectively with individuals from diverse backgrounds and tailor communication style for different audiences and situations Ability to learn department and university policies and procedures and the ability to accurately interpret and articulate such to faculty, students, and colleagues. Demonstrated ability to work independently as well as part of a team Ability to gather data from various sources to prepare reports, update and maintain financial records using standard software Experience in maintaining confidential and sensitive information Familiarity with Graduate Admissions and Records and Faculty of Graduate Studies policies and procedures is an asset. Familiarity with UVic programs, policies, procedures and business systems is an asset Knowledge of Banner Student System; Banner Extender; AIRS; FAST Financial; Cascade; and FAMIS is an asset


Specialized Knowledge/Education:

Secondary school diploma or equivalent.
