SCS Manufacturing, Inc., a division of The Hazelwood Group, is seeking a full-time Administrative Shop Assistant to join our team of hard-working, dedicated staff at our production facility in South Nanaimo, BC.

Our ideal candidate has at least two years of experience and isn’t afraid of a fast-paced, lean manufacturing environment. We manufacture everything from small parts to steel gravel boxes, so speed, accuracy, and attention to detail are desired traits.

Compensation

  • $26-$28 per hour, depending on experience and education.

Summary

The Administrative Shop Assistant will be responsible for a variety of administrative tasks, including answering phones, performing light bookkeeping, generating quotes, and assisting with shop-related activities. This position requires strong administrative skills, including accounts payable, invoicing, customer interactions, and collections. The ideal candidate will be customer-focused, detail-oriented, and able to thrive in a fast-paced environment.

We’re looking for someone who has a bit of prior experience in a similar role or shop environment, plus the ability to work independently. Solid interpersonal skills, a positive demeanor, and a decent sense of humor are key for success in this role.

Job Duties

  • Welcome customers courteously and professionally, whether in person or over the phone.
  • Offer comprehensive administrative assistance to on-site management.
  • Execute fundamental bookkeeping tasks accurately and efficiently.
  • Screen and manage all incoming calls, emails, and visitors, ensuring prompt and appropriate responses.
  • Evaluate incoming and outgoing mail, distributing it promptly and accurately.
  • Utilize internal computer software proficiently to generate personalized quotes for clients.
  • Supervise and replenish office and shop supplies, initiating orders as necessary to maintain adequate levels.
  • Provide support to shop staff as required, fostering a collaborative work environment.
  • Undertake additional responsibilities as delegated by supervisors, contributing to the overall efficiency of operations.

Requirements

  • 2-3 years of experience in a similar role is preferred
  • Possesses a valid driver’s license
  • Ability to work independently in a busy environment
  • Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment
  • Able to effectively communicate both verbally and in writing
  • Able to work well under pressure
  • Strong attention to detail
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times
  • Computer literate
