The Administrative Assistant is responsible for the effective execution of administrative duties, reception and office supported as required and assigned. This includes responsibility for providing assistance and support to all levels and needs of the branch, both office and field and completing administrative tasks as assigned.

**Responsibilities**:

- Performing administrative duties where applicable and assigned, including phone and switchboard operation, scheduling and coordinating with customer and vendors and directing queries and information to the appropriate departments and staff in the office and the field.
- Monitoring and administering office systems and procedures as applicable and assigned, including boardroom booking, meeting preparations, etc.
- Supporting all team members with administrative tasks as applicable and assigned, including sorting and reviewing documents, creating correspondence reports, and presentations, and keeping databases and spreadsheets current.
- Coordinating payroll time sheets as required and providing support to the team locally in the field.

Qualifications:

- 2-4 years of experience in an administrative assistant position
- Demonstrated organizational abilities and attention to detail
- Ability to work independently and as part of a team
- Excellent ability to think critically and problem solve
- Effective communication skills verbal and written
- Ability to work effectively independently and as part of a team.
- Exposure to construction, engineering or technical environment is a definite asset.

Schedule:

- 8 hour shift

Ability to commute/relocate:

- Nanaimo, BC: reliably commute or plan to relocate before starting work (required)

**Education**:

- Secondary School (preferred)

**Experience**:

- Customer service: 1 year (preferred)
- Administrative experience: 1 year (preferred)
