The Operations Assistant plays a crucial role in supporting the efficient functioning of daily operations within the organization. This position involves providing administrative and logistical support to the Operations team, ensuring smooth workflows, and contributing to the overall effectiveness of the business. This position is a temporary role within our company, offered on a 6 to 12-month contract basis with the possibility of renewal. There is also the potential for the position to transition from temporary to full-time.
What you'll do:
- Provide administrative assistance to the operations team, including document preparation, data entry, and maintaining organized filing systems.
- Assist in coordinating internal and external communications, ensuring timely and accurate information flow between team members and other departments.
- Support logistics and supply chain activities, including inventory management, order processing, and coordination with suppliers or vendors.
- Assist in scheduling appointments, meetings, and coordinating calendars for operations team members.
- Maintain accurate records by entering data into databases, spreadsheets, or other systems as required.
- Generate basic reports on operational activities, providing summaries and insights as needed.
- Prepare and organize operational documents, manuals, and standard operating procedures.
- Assist in identifying and resolving operational issues, collaborating with team members to implement effective solutions.
- Handle inquiries and requests from internal and external stakeholders, providing excellent customer service and directing issues to the appropriate parties.
- Contribute ideas for process improvements and operational efficiencies, working collaboratively with the operations team to implement changes.
Your background:
- High school diploma or equivalent; additional education or training in business administration is a plus.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work effectively in a fast-paced and dynamic environment.

L'assistant(e) des opérations joue un rôle crucial dans le soutien du bon fonctionnement des opérations quotidiennes au sein de l'organisation. Ce poste implique de fournir un soutien administratif et logistique à l'équipe des opérations, d'assurer la fluidité des flux de travail et de contribuer à l'efficacité globale de l'entreprise. Ce poste est un rôle temporaire au sein de notre entreprise, proposé dans le cadre d'un contrat de 6 à 12 mois avec possibilité de renouvellement. Il existe également une possibilité de transformation du poste temporaire en poste permanent à temps plein.
Vos responsabilités:
- Fournir une assistance administrative à l'équipe des opérations, notamment pour la préparation de documents, la saisie de données et la gestion des systèmes de classement.
- Aider à coordonner les communications internes et externes, en veillant à ce que les informations circulent de manière rapide et précise entre les membres de l'équipe et les autres départements.
- Soutenir les activités logistiques et de la chaîne d'approvisionnement, notamment la gestion des stocks, le traitement des commandes et la coordination avec les fournisseurs ou les vendeurs.
- Aider à la planification des rendez-vous, des réunions et à la gestion des calendriers des membres de l'équipe des opérations.
- Maintenir des dossiers précis en saisissant des données dans des bases de données, des feuilles de calcul ou d'autres systèmes selon les besoins.
- Générer des rapports de base sur les activités opérationnelles, fournissant des résumés et des analyses selon les besoins.
- Préparer et organiser des documents opérationnels, des manuels et des procédures standardisées.
- Aider à identifier et résoudre les problèmes opérationnels, en collaborant avec les membres de l'équipe pour mettre en œuvre des solutions efficaces.
- Traiter les demandes et les requêtes des parties prenantes internes et externes, en offrant un excellent service à la clientèle et en dirigeant les problèmes vers les personnes appropriées.
- Contribuer avec des idées pour l'amélioration des processus et l'efficacité opérationnelle, en travaillant en collaboration avec l'équipe des opérations pour mettre en place des changements.
Votre profil:
- Diplôme d'études secondaires ou équivalent ; une formation supplémentaire en administration des affaires est un atout.
- Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint) et d'autres applications logicielles pertinentes.
- Solides compétences organisationnelles et capacité à gérer plusieurs tâches, avec une attention aux détails.
- Excellentes compétences en communication et en relations interpersonnelles.
- Capacité à travailler efficacement dans un environnement dynamique et rapide.
