OVERVIEW_
Responsible for administrative support and assistance to the Vice President of Operations & Asset Management as well as the Vice President of Marketing & Business Development. Close collaboration with the Executive Assistant to ensure smooth task execution, communication and planning.
- RESPONSIBILITIES_
- Communication and Coordination:
- Organization of departmental meetings.
- Follow-up of the teams to ensure the completion of monthly reports.
- Participation in meetings for note-taking.
- Coordination of training activities.
- Support during the orientation of visitors or new employees.
- Draft memos, presentations, or other communications.
- Collaboration with Executive Assistant on different tasks.
- Administrative Support:
- Preparation of expense reports and processing of invoices.
- Management of VP calendars, appointments, and travel.
- Document Submission Management.
- Processing requests for printing, scanning, creating memos and presentations.
- Coordination of Appropriation Requests (RA’s) approval process.
- Source office supplies, equipment where not readily available for employees.
- As necessary, provide administrative support for major initiatives such as development RFP filings, and other key administrative processes.
- Any other related tasks.
- Landowner Relations:
- Front line contact: Process and dispatch incoming calls from local stakeholders.
- Annual Payments and Letters: Management of the Database and updating of the list of landowners in Quebec, in collaboration with the Compliance Coordinator; submission of annual payments and letters.
- Organize the annual appreciation events and provide support for other annual events.
- Logistics & Organization:
- Health & Safety support on operational platforms: Keep the system up to date.
- Monthly Statistics: Collect and submit data to the system.
- Contact Information Management:
- Christmas Cards: Develop and maintain mailing lists for the team.
- Outlook Distribution Lists: Keep updated in case of movement or change of personnel.
- SKILLS, KNOWLEDGE & ABILITIES_
- Organizational skills:
- Efficient task management under pressure, workload prioritization.
- Skillful creation and maintenance of systematic filing systems.
- Excellence in communication:
- Strong written and verbal communication skills in French and English for effective interaction with team members, clients, and visitors.
- Technical aptitudes:
- Proficient in standard office software such as Microsoft Office (PowerPoint, Excel, Word, etc.).
- Adaptability to office equipment and rapid assimilation of new technologies.
- Autonomy and collaboration:
- Ability to work as part of a team and independently.
- EDUCATIONAL & PROFESSIONAL REQUIREMENTS_
- College diploma.
- 2 to 5 years of similar experience.
- Bilingualism in French and English (oral and written).
- Excellent spelling and grammar.
- Effective note-taking.
