POSITION OVERVIEW

Under the leadership of the Vice-President, Virtual Banking and Small Business, in collaboration with the Virtual Business Centre Management Team, the Operations Support Assistant coordinates activities and meets the administrative needs of the Virtual Business Centre team.

CHALLENGES TO BE MET- Act as coordinator of the executive team by assisting managers in setting priorities and workflows and planning agendas, meetings, and conferences to enable the achievement of management and operational staff objectives (taking minutes, tracking action items, etc.).- Support communications initiatives (e.g., announcements, newsletters, national teleconferences, conferences, and intranet) by creating presentations, providing translation support, and overseeing communications plans.- Provide administrative support by processing and maintaining a wide variety of documents (statistical reports, correspondence, invoices, etc.) related to the activities of their department.- Create and maintain efficient and effective databases and files, including team SharePoint sites, and assist with research and similar activities to meet the needs and objectives of the department.- Support management in the strategic planning of teams and in the coordination and participation in the administration of HR programs (e.g., recognition, assessments, training needs, career management).- Support management in the onboarding process for new employé.es by coordinating the hiring process and logistics for new employé.es and preparing any relevant documentation.

WHAT WE'RE LOOKING FOR- Bachelor's degree, certificate in business administration or a relevant field and three to five years of relevant experience.- Excellent organizational skills, ability to prioritize and multi-task.- Ability to work independently with initiative and judgment in assessing priorities.- Ability to work under pressure and meet deadlines.- Ability to exercise discretion and professionalism in sensitive situations and maintain an appropriate level of confidentiality.- Excellent interpersonal, written, and oral communication skills (in French and English).- Proficient in Microsoft Office software suite (Word, Excel and PowerPoint).
