Role Overview

The Human Resources Coordinator provides administrative and operational support to the Human Resources department. This role assists with full-cycle recruitment, onboarding, offboarding, employee relations, benefits and payroll support, and ongoing HR process improvement. The HR Coordinator ensures accurate recordkeeping and compliance with internal policies and applicable employment legislation while fostering a positive and inclusive workplace culture across the college.

Key Responsibilities

Recruitment and Selection

  • Assist in the full-cycle recruitment process by posting open roles, reviewing resumes, conducting pre-screen interviews, and coordinating interviews with hiring managers.
  • Support managers in assessing departmental needs and workforce planning.
  • Maintain recruitment and applicant tracking records in compliance with internal and external reporting requirements.
  • Ensure the HR data tracking system is kept current with recruitment progress, candidate status, and hiring timelines.

Onboarding, Offboarding, and Employee Life Cycle

  • Serve as the first point of contact for new employee onboarding, including orientation, asset setup/troubleshooting, and documentation.
  • Lead and document employee life-cycle changes, including probationary period tracking, team changes, promotions, and other employment status updates.
  • Ensure that performance evaluation processes are completed accurately and on time.
  • Coordinate employee offboarding, including collection of college property, termination documentation, system access removal, and final payroll coordination.
  • Conduct or coordinate exit interviews and maintain accurate offboarding records.
  • Ensure compliance with legal and policy requirements throughout all employment transitions
  • Keep the HR information tracker updated with onboarding, offboarding, and employee status changes.

HR Administration and Compliance

  • Maintain accurate and confidential employee records and HR data systems.
  • Assist in the administration of leave management, including maintaining accurate records and ensuring compliance with employment legislation.
  • Provide back-up support for the Payroll as required.
  • Support compliance and reporting obligations related to employment standards, internal policies, and college regulations.
  • Maintain the HR data tracking system as a centralized and accurate record of ongoing HR activities and updates

Employee Relations and Culture

  • Act as a point of contact for employee inquiries, escalating matters to the appropriate HR or management team member when necessary.
  • Champion a positive workplace culture aligned with the college's mission and values.
  • Support employee engagement initiatives and HR communications.

Systems and Technology

  • Assist in the administration of employee technology access and accounts (e.g., email logins, campus systems) in coordination with IT and third-party vendors.
  • Ensure timely setup and deactivation of employee accounts in alignment with employment changes.

Other Duties

  • Perform other related duties and special projects as assigned by leadership.

Qualifications

  • Education: Education or a combination of Education and Experience in a Human Resources or Business Administration discipline
  • Experience: 1–3 years of human resources or administrative experience, preferably in an educational or private career college setting.
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Meet) and Microsoft 365 (Word, Excel, Outlook).
  • Experience with ADP Workforce Now or a similar HRIS/payroll system.
  • Knowledge of the Employment Standards Act (ESA) and related HR legislation.
  • Familiarity with payroll and benefits administration processes is an asset.
