Job Title: Real Estate Executive Assistant

Location: Langley, BC

Hours: 30 hours/week

Salary: $23-$26/hour

Immediate opening for a full-time Executive Assistant to perform diverse administrative duty for a busy, high producing Real Estate Team so they can better manage, organize, build, and grow their real estate business. A successful candidate must be flexible, well-organized, and have superb computer, time management, multi-tasking, communication, and interpersonal skills for a high-paced, customer service focused team. This is not an entry level position; minimum 4 years of administrative experience, and a minimum of 2 years of real estate experience is preferred.

Successful Candidate Must:

  • Have a minimum of four years of administrative experience, and preferably at least two years of administrative experience in the Real Estate industry
  • Possess an ability to perform well in a fast paced/high intensity environment
  • Be detail oriented with strong organizational skills
  • Ability to multitask
  • Have excellent verbal and written communication skills
  • Possess excellent editing skills
  • Be personable and make client care a priority
  • Demonstrate proficiency in computer programs (Microsoft, Google Sheets, Adobe)
  • Demonstrate an ability to follow verbal and written instructions
  • Be a Langley (or immediate area) resident with knowledge of the community
  • Have a reliable vehicle
  • Self-motivated; ability to stay focused, efficient, and effective with a high level of independence while managing multiple priorities and meeting deadlines.
  • Ability to provide after hour and flexible support when necessary
  • Be able to put up with the boss's bad jokes

General Job Responsibilities:

  • Manage and oversee day-to-day operations, ensuring that all work, tasks, and projects are accomplished in a complete and timely manner
  • Anticipate and prepare materials needed by the agent for conferences, appointments, meetings, telephone calls.
  • Confirm all appointments and maintain a schedule of the agent's time (calendar, meetings, projects, etc.)
  • Respond to emails and answer incoming calls and text messages
  • Be flexible with hours worked and be able to return calls on evenings/weekends with a business supplied cell phone. (Posted hours plus some evenings/weekends on call)
  • Interact with clients and customers in a professional manner (setting up showings, handling emergencies, etc.)
  • Update client data base and establish and maintain a consistent follow-up program with elite client base
  • Protect agents time by keeping interruptions to a minimum through screening calls, visitors, and incoming communication
  • Process listing files from initiation to completion and assure all clients and agents involved are kept up to date on progress of their transaction.
  • Provide world-class service to clients and customers at all times
  • Monitor and review all operation systems and filing systems on a regular basis to ensure accuracy, timeliness, and completeness (ie. emails and letters)
  • Perform other related duties as assigned
