Job Summary

We are seeking a professional and organized Receptionist/Secretary to join our medical practice. The ideal candidate will serve as the first point of contact for patients and visitors, managing front desk operations with efficiency and professionalism. This role involves handling administrative tasks, scheduling appointments, and maintaining accurate confidential records within a fast-paced healthcare environment. Experience with medical office procedures, along with proficiency in relevant software, is highly valued to ensure smooth daily operations.

Responsibilities

  • Greet patients and visitors warmly, creating a welcoming environment
  • Answer multi-line phone systems promptly and professionally
  • Schedule, confirm, and reschedule patient appointments using electronic medical records systems
  • Manage patient check-in and check-out processes accurately
  • Assist with data entry related to medical terminology and administrative documentation for a patient referrals.
  • Coordinate communication between patients, staff, and healthcare providers
  • Support administrative tasks such as faxing, scanning, and correspondence

Requirements

  • Prior experience as a Medical Office Secretary highly preferred
  • Experience working with multi-line phone systems in a busy office environment
  • Excellent organizational skills with attention to detail
  • Ability to handle sensitive, confidential patient information
  • Strong communication skills—both verbal and written—are essential
  • Ability to work efficiently under pressure while maintaining professionalism
