Job Summary

We are seeking a detail-oriented and highly organized professional to fill a crucial, multi-faceted Part-Time Administrative and Logistics Assistant role at our Saint-Laurent, Montreal location.

This position is ideal for an educated individual (such as a newcomer to Quebec or a parent re-entering the workforce) who is looking for a structured part-time opportunity to gain Canadian work experience, apply existing professional skills, and secure a reliable income while managing family or other personal commitments. The successful candidate will be the backbone of administrative efficiency, managing data, creating essential technical documents, and preparing small, specialized orders for shipping.

Key Responsibilities

The successful candidate will manage a diverse set of duties across three core areas:

  • Administrative & Data Management
  • Execute timely and accurate data entry using Google Workspace (Drive, Sheets) and Microsoft Office Suite (Word, Excel), maintaining organized digital and paper records.
  • Manage comprehensive archiving and filing systems, ensuring systematic organization of documents.
  • Perform general clerical tasks, including proofreading documents, preparing correspondence, and managing office supply inventory.
  • Support front desk and communication operations, including managing multi-line phone systems and demonstrating professional phone etiquette.
  • Technical Documentation & Content Creation
  • Assist in the creation, formatting, and editing of essential content documents, including product catalogs, technical manuals, and troubleshooting guides.
  • Work proficiently with Microsoft Word, Excel, and PDF formats to produce professional-grade documents.
  • Integrate and organize technical descriptions, specifications, and relevant pictures into documentation.
  • Logistics & Order Preparation
  • Assist in the preparation of small, specialized orders, primarily involving photonics parts and PPE (Personal Protective Equipment).
  • Carefully package items by placing them in specific boxes and ensuring accurate labeling.
  • Generate and prepare necessary shipping labels to facilitate timely dispatch.

Schedule & Location

  • Working Days: Tuesday and Thursday.
  • Core Hours: 09:00 to 13:00 (4 hours per day).
  • Optional Overtime: Additional paid working hours may be available occasionally, based on business needs and the employee's schedule.
  • Location: Saint-Laurent, Montreal, QC.

Required Qualifications & Skills

  • Relevant post-secondary education (diploma, degree, or equivalent) or equivalent professional experience is required.
  • Proficiency in Google Workspace (Drive, Sheets) and Microsoft Office Suite (Word, Excel, PDF management).
  • Demonstrated excellent organizational skills and superior attention to detail.
  • Strong verbal and written communication skills (English and/or French) for customer service and document creation.
  • Proven ability to manage multiple tasks efficiently and adapt quickly in a fast-paced setting.
  • Reliable, punctual, and possesses a strong work ethic.
  • Prior experience with technical documentation or order preparation is a strong asset, but not required.

Ce poste est idéal pour une personne éduquée (telle qu'un(e) nouvel(le) arrivant(e) au Canada ou un(e) parent qui revient sur le marché du travail) cherchant une opportunité structurée à temps partiel pour acquérir une expérience de travail canadienne, mettre à profit ses compétences professionnelles existantes et assurer un revenu fiable tout en gérant ses engagements personnels ou familiaux. Le (la) candidat(e) retenu(e) sera le pilier de l'efficacité administrative, gérant les données, créant des documents techniques essentiels et préparant de petites commandes spécialisées pour l'expédition.

Responsabilités Clés

Le (la) candidat(e) retenu(e) gérera un éventail de tâches réparties dans trois domaines principaux :

  • Gestion Administrative et des Données
  • Effectuer la saisie de données précise et rapide à l'aide des applications Google Workspace (Drive, Sheets) et de la Suite Microsoft Office (Word, Excel), en maintenant des dossiers numériques et papier organisés.
  • Gérer des systèmes complets d'archivage et de classement, assurant l'organisation systématique des documents.
  • Effectuer des tâches de bureau générales, y compris la relecture de documents, la préparation de la correspondance et la gestion des stocks de fournitures de bureau.
  • Soutenir les opérations d'accueil et de communication, y compris la gestion de systèmes téléphoniques multilignes et la démonstration d'une étiquette téléphonique professionnelle.
  • Documentation Technique et Création de Contenu
  • Aider à la création, à la mise en forme et à l'édition de documents de contenu essentiels, y compris les catalogues de produits, les manuels techniques et les guides de dépannage.
  • Travailler avec compétence avec les formats Microsoft Word, Excel et PDF pour produire des documents de qualité professionnelle.
  • Intégrer et organiser des descriptions techniques, des spécifications et des images pertinentes dans la documentation.
  • Logistique et Préparation de Commandes
  • Assister à la préparation de petites commandes spécialisées, impliquant principalement des pièces de photonique et des ÉPI (Équipements de Protection Individuelle).
  • Emballer soigneusement les articles en les plaçant dans des boîtes spécifiques et en assurant un étiquetage précis.
  • Générer et préparer les étiquettes d'expédition nécessaires pour faciliter l'envoi dans les délais.

Horaire et Lieu de Travail

  • Jours de Travail : Mardi et Jeudi.
  • Heures de Base : 09h00 à 13h00 (4 heures par jour).
  • Heures Supplémentaires Facultatives : Des heures de travail payées supplémentaires peuvent être proposées occasionnellement, en fonction des besoins de l'entreprise et de la disponibilité de l'employé(e).
  • Lieu : Saint-Laurent, Montréal, QC.

Qualifications et Compétences Requises

  • Formation postsecondaire pertinente (diplôme, grade ou équivalent) ou expérience professionnelle équivalente requise.
  • Maîtrise de la Suite Microsoft Office (Word, Excel, gestion PDF) et des outils Google Workspace (Drive, Sheets).
  • Excellentes compétences organisationnelles démontrées et souci du détail supérieur.
  • Fortes compétences en communication verbale et écrite (anglais et/ou français) pour le service à la clientèle et la création de documents.
  • Capacité prouvée à gérer efficacement plusieurs tâches et à s'adapter rapidement dans un environnement dynamique.
  • Fiable, ponctuel(le) et possède une forte éthique de travail.
  • Une expérience antérieure en documentation technique ou en préparation de commandes est un atout majeur, mais non requise.
