Join the Member Services Department as a Registry Admin Support. This role plays an essential part in supporting core services that uphold fairness, integrity, and trust for Sḵwx̱wú7mesh community members. You will contribute to the foundational work of the Registry by helping process membership applications, land registry requests, housing list related files, and departmental administration, ensuring processes are completed accurately, respectfully, and in accordance with Nation policies and governance practices.

As the first point of contact, you will play a key role in welcoming members, supporting inquiries, organizing records, and ensuring timely clerical coordination. Your work will support the Nation in maintaining accurate records, strengthening accountability, and ensuring community members receive consistent, high-quality service rooted in cultural respect and Nation values.

What You'll Do
  • Provide reception, administrative, and clerical support to the Registry Department, including answering calls, greeting visitors, responding to general inquiries, and directing members and callers appropriately.
  • Review, set up, and maintain membership and land registry filing systems, applications, new requests, confirmations, and correspondence.
  • Receive and process new applications, land registry requests, and housing list submissions via mail, email, phone, or member visits.
  • Research and retrieve information from central files and prepare documentation for Officers, Team Leads, or Directors.
  • Process incoming/outgoing department correspondence, mail, and related administrative records.
  • Prepare memos, correspondence letters, and forms, including transfers of land, Certificates of Possession, and confirmation letters for new memberships.
  • Update and maintain the master membership lists, land registry files, and housing lists as required.
  • Support cheque requisitions, purchase orders, distribution files, trust cheque runs, and timekeeping documentation.
  • Support special assignments such as updating procedures, manual,s and data accuracy.
  • Maintain confidentiality and adhere to all department processes and policies.
  • Perform additional administrative duties as assigned to support departmental workflow.
What We're Looking For
  • Grade 12 required.
  • Office or Business Administration certification is considered an asset.
  • Clerical, administrative, or receptionist experience working in an office environment.
  • Intermediate MS Office skills and experience working with large database systems.
  • Experience working with First Nations or Indigenous communities is preferred.
  • Strong interpersonal skills, respectful and adaptable communication style.
  • Organized, detail-oriented, resourceful, and able to manage competing timelines.
  • Ability to remain calm in high-pressure situations and handle sensitive information professionally.
  • Cultural humility, respect, and an approach grounded in building trust with community members.

Salary: $47,000 - $66,000

Candidates are typically offered compensation between the beginning to the midpoint of the range. We are committed to providing a fair and equitable package that reflects the value an individual brings to the organization.
