**LRB 1 - Registry Assistant (Reception)**

**Overview**

An opportunity has become available at the Labour Relations Board for a Registry Assistant (Reception). The Registry Assistant provides a variety of services to the Board’s Registry. The current vacancy is for a Registry Assistant focused on providing first point of contact service to visitors to the Labour Relations Board (the “Board”) and Employment Standards Tribunal (the “Tribunal”), including: parties to Board and Tribunal proceedings, staff, members of the public, tradespeople, and couriers.

**Key Responsibilities**:

- Welcoming visitors to the Board and Tribunal and providing reception services to parties attending in-person meetings and hearings;
- Answering the main Board telephone line, transferring calls to Board personnel, and directing members of the public to appropriate Board staff or other relevant agencies;
- Assigning and managing hearing room bookings;
- Ensuring the proper configuration of Board meeting rooms;
- Accepting and arranging for mail and courier deliveries and pickups;
- Filing various serials housed in the Board resource centre; and
- Performing other related duties as required.

The successful applicant will also be trained and expected to perform non-reception duties associated with the Registry Assistant position as time permits, which include:

- Creating and uploading files to the Board’s electronic case management system;
- Exercising judgment in prioritizing communication as it is received;
- Drafting template letters and notices for review by senior staff, and sending communications on behalf of the Board;
- Responding to public requests for information, while being cognizant of Board procedures and requirements regarding the confidentiality of Board records;
- Maintaining and developing the procedures manual in response to new procedures required by different divisions or developed within administration;
- Creating outgoing mail packages;
- Accurately maintaining Board records in the file room as well as on and off-site record storage;
- Filing documents in Board files and related records;
- Maintaining Registry binders of Board decisions and Orders;
- Occasional lifting of files and boxes that weigh approximately up to 15lbs;
- Performing transactions on point-of-sale machines, creating receipts, and recording these in the Board’s case management system; and
- Performing other related duties as required.

**Qualifications**:

- Experience with and ability to work with windows-based computers and programs, including: Microsoft Word, Outlook, Teams, and Excel.
- Minimum of 12 months office and/or clerical experience preferred.
- Excellent interpersonal and communication skills.
- Excellent organizational skills.
- Service orientation and attention to detail.
- Ability to multi-task and prioritize duties.
- Experience using an electronic case management system and knowledge of the _Labour Relations Code_ are assets.

**Wages and benefits**:

- Salary Range: $47,368.78-$53,215.39 per year
- Access to the Public Service Superannuation Plan
- Benefits: as set out in the LRB Staff Association collective agreement
- The option to work a 9-day fortnight
