Office Administrator & Internal Accounting

Position: Full Time, Permanent

Position Overview:

Home Vision Solutions Inc. is a leader in luxury homebuilding and smart technology integration. We specialize in creating intelligent living environments through automation, AV, lighting, and security systems. As we expand locally, we're seeking a detail-oriented professional to manage office operations and internal accounting with precision and discretion. This office role combines administrative leadership with hands-on accounting support. You'll ensure smooth day-to-day operations while maintaining accurate financial records, supporting vendor relationships, and assisting with project cost tracking.

Description of Duties:

Office Administration:

· Manage daily office operations, supplies, scheduling, and vendor coordination

· Support HR tasks including onboarding, timesheet tracking, and employee documentation

· Maintain organized digital and physical filing systems

· Assist with client communications, appointment scheduling, and showroom coordination

· Liaise with contractors and suppliers for documentation and compliance

Internal Accounting:

· Process invoices, purchase orders, and expense reports

· Reconcile accounts and maintain accurate records in accounting software (e.g., QuickBooks)

· Monitor receivables and follow up on outstanding payments professionally

Qualifications:

· Proficient in accounting software Quick Books and Microsoft Office 365

· Strong communication skills and ability to collaborate across teams

· Highly organized, discreet, and proactive in problem-solving

· 3+ years experience in office administration and bookkeeping (preferably in construction, AV)

· Bonus: Experience with smart home systems, construction documentation, or showroom operations
