In this role, you will be working under the direct supervision of our Design Manager to complete all aspects of project (planning, coordination, time admin as well as scheduling). Your primary responsibility will be to coordinate with the clients and update them on the overall health of the project by preparing the project schedule. IVYBAUD Inc. will also require the selected candidate to have very good verbal and written communication skills, ability to work as a team player, ready to take initiative and have excellent organizing skills.

Manage Projects Start Up

· Help establish resource requirements for projects

· Coordinate with customer to determine timing for site work to commence

· Establish and prepare reporting requirements for the projects

· Coordinate initial start-up meetings for projects with client and internal teams

· Facilitate the definition of project scope, goals and deliverables

· Work with Fielding and Design Managers to oversee the detailed project plan to monitor and track progress

· Successfully manage the relationship with the client and all stakeholders

· Establish and maintain relationships with third parties/vendors

· Ensure that all projects are delivered on-time, within scope and within budget

· Manage communication between various teams (Field and inhouse team)

· Facilitates project meetings with internal and external stakeholders to monitor and support the project's ongoing progression.

· Works with design team to identify and manage opportunities and risks to achieve the best possible impact on schedule and financial targets.

· Maintains, tracks, and reports financial aspects of project including forecasts and billings

Manage Project Execution

· Track design packages for submission to the client and collaborate with internal teams for their timely delivery.

· Collect information from various sources on a weekly and monthly basis for updating the progress reports.

· Coordinating design quality aspects with the team and help preparing for design quality audits with QA/QC

· Manages project-related inquiries or escalations and provides appropriate responses in a timely manner

· Respond effectively to Designers' enquiries/requests in efforts to support design process.

· Communicate any delays in the design schedule proactively and find solutions to mitigate; keep track of all delays.

· Work with Team leads and all other team members to ensure the successful execution of project (provide direction and support to project team)

· Attend meetings by the customer or as necessary internally to ensure status of the project is communicated appropriately to all stakeholders and participating parties.

· Monitor Progress on projects

· Monitor Costs on projects (management accounting and forecasting)

· Monitor Quality on projects working alongside different teams

· Prepare and submit weekly reports to Director

· Prepare monthly financial progress

· Identify concerns to senior management and work with all appropriate team members to resolve issues.

· Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques

· Perform risk management to minimize project risks

· Enhance delivery process of all packages to Client.

· Prepares detailed analysis or review of aspects of the project as may be required

· Assist with gathering project requirements from various internal teams

Project Close-out

· Oversee final packages for submittal to customer

· Oversee data gathering for final invoices

· Identify final scope of project

· Identify final cost and revenue on the project

· Project evaluations and assessment of results

· Collaborate with Design Team Lead for the learning moments gathered from past projects with regards to optimizing design coordination internally within the team and externally.

Required to qualify

  • You enjoy working towards deadlines instead of 8.00am to 4.00pm environment
  • You have valid document to work in Canada
  • You are willing to produce criminal background check , police clearance and driver's abstract (if Asked).

Job Type: Contract (6 months, to be revised accordingly)

Pay: $18.00- $ per hour

Job Type: Fixed term contract

Contract length: 6 months

Pay: $18.00-$23.50 per hour
