Job Overview

We are seeking a highly organized and proactive Office Administrator for small HVAC Company to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and communication skills, with experience in supervising staff and managing office systems. This role is essential for maintaining a smooth workflow, ensuring effective vendor and team management, and fostering a professional office environment.

Duties

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professional phone etiquette
  • Oversee clerical tasks such as filing, data entry, and document management using tools like MICRO SOFT and other bookkeeping software
  • Supervise administrative staff and coordinate team management activities, including training & development initiatives
  • Handle human resources functions including, employee record keeping, and assisting with onboarding procedures
  • Maintain vendor relationships, manage procurement processes, and oversee vendor management activities
  • Dispatching calls , Quotation ,pricing , ordering parts , set up calls, work with team of techs and owners of company
  • Organize meetings, prepare agendas, and support scheduling needs across departments
  • Ensure organizational compliance with company policies and procedures

Qualifications

  • Proven experience in office administration or related roles with strong organizational skills
  • Supervising experience preferred
  • Proficiency in miro soft and other computor skills, processing, and vendor management tools, WSIB,
  • Excellent communication skills and professional phone etiquette
  • Experience with front desk operations and on line systems
  • Strong clerical skills including filing, data entry, and document management
  • Knowledge of human resources practices including training & development and employee record keeping
  • Ability to manage multiple priorities efficiently in a fast-paced environment
  • Office experience combined with excellent organizational skills is essential for success in this role

Job Type: Full-time

Pay: $20.00-$25.00 per hour

Expected hours: 40 per week
