Tax Partners is a full-service accounting and tax firm providing a range of CRA audit, accounting, income tax, and consulting services to individuals, not-for-profit entities, and private companies. The firm has specific experience in a number of subject areas, including income tax return preparation, estate planning and final returns, US Taxes, cryptocurrency accounting & tax, and the purchase and sale of the business, international taxation and works across a number of industries, from construction and retail to high technology.

Position Overview:

Reporting to the Partners, the Administrative Assistant operates the reception area, greets visitors, answers incoming calls, and directs calls and visitors to the appropriate persons. This position also handles various administrative duties such as business development, digital marketing (YouTube, Social Media platforms, blogs for website), assisting the Partners and other related duties as required.

The Ideal Candidate: 24 months+ experience in a similar position, University or College Education (Finance or Accounting), strong organizational skills, exceptional English written and verbal communication skills, excellent attention to detail, strong excel & Word skills, proficient in data entry, strong ability to work in a team, friendly and outgoing personality.

Key Responsibilities:

· Direct voicemails and calls to staff

· Greet all visitors to the office

· Process all incoming cheques and daily sales reports

· Process and distribute all incoming mail daily

· Ensure all postal mail and courier is processed daily

· Ensure front reception area is tidy and organized

· Assist in setup and maintenance of meeting rooms

· Daily kitchen / coffee station maintenance

· Stationery and office supplies – inventory management

· Maintain file system (digital and/or filing)

· Assist in any mass mailing projects

· Distribute incoming faxes and photocopies

· Special projects for Office Services

· Other duties as required (i.e. bookkeeping, etc.)

Qualifications:

· Strong proficiency in Microsoft Office applications.

· Must possess strong customer service skills including the ability to maintain composure and a polite manner under all circumstances.

· YouTube and Social Media marketing.

· Must have computer proficiency in MS Office, including Outlook and the internet.

· Exhibits high level of professionalism, energy, and initiative.

· Ability to complete tasks under time sensitive deadlines.

· Ability to work in a fast-paced environment with minimal supervision/instructions provided.

· Demonstrated professional and courteous interpersonal skills (telephone and in-person).

· Is discreet; understands when confidentiality is required.

· Strong organizational skills and highly effective at managing multiple tasks throughout the work day.

· A quick study – can learn about the company (people and departments) quickly and accurately.

· Works well independently as well as part of a team and is able to work with minimal supervision.
