Summary:
Bugwood Coffee is seeking a highly organized and versatile Office Manager to oversee the administrative, financial, and operational functions of our growing company. This role is essential to our daily success, requiring an individual who can manage multiple responsibilities with professionalism and attention to detail. The ideal candidate will be a proactive problem-solver with strong communication skills and a deep understanding of our company's mission.
Responsibilities
Financial and Administrative Management:
- Order Processing: Manage the complete weekly order process for wholesale clients, including receiving, processing, invoicing, and tracking orders to ensure timely delivery.
- Accounts Receivable (A/R): Oversee all A/R duties, including generating and sending invoices, tracking outstanding payments, and managing collections.
- Accounts Payable (A/P): Manage all A/P duties, including processing and paying invoices, managing vendor relationships, and reconciling vendor statements.
- Contract Management: Maintain a system for tracking, organizing, and managing all company contracts, ensuring all terms are met and records are accurate.
Human Resources (HR):
- Employee Records: Maintain accurate and confidential employee records, ensuring compliance with all local, provincial, and federal regulations.
- Onboarding/Offboarding: Assist with the onboarding process for new hires and manage the administrative duties for departing employees.
- Support: Serve as the first point of contact for employee inquiries regarding HR policies and procedures.
Inventory and Operations:
- Inventory Management: Oversee and manage all aspects of inventory for both the retail and wholesale operations, from raw bean purchasing to finished product stock levels.
- Forecasting: Work with management to implement smart inventory management practices to reduce waste and ensure stock levels meet demand.
- Operational Support: Coordinate with the roastery and café teams to ensure smooth daily operations and logistical efficiency.
Website and Communications:
- Website Management: Maintain and update the Bugwood Coffee website, including product listings, company information, and some content creation.
- E-commerce: Manage online store inquiries, orders, and customer service.
- Communications: Act as a key point of contact for general inquiries, both internally and externally.
Qualifications:
- Proven experience as an Office Manager, Bookkeeper, or similar administrative role.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Proficiency with accounting software (e.g., QuickBooks) and other office management tools.
- Experience with e-commerce platforms and content management systems (CMS) for website updates.
- Excellent communication and interpersonal skills.
- Detail-oriented with a high degree of accuracy.
- A passion for coffee and an understanding of the specialty coffee industry is a strong asset.
- Knowledge of local and federal employment laws.
