We are seeking an organized, friendly, and professional Medical Administrative Assistant to join our team. The ideal candidate will have excellent patient relations skills, be highly organized and detail-oriented, and be able to manage multiple responsibilities — including scheduling appointments, maintaining electronic medical records, and handling a high volume of phone calls in a fast-paced setting.

****Please note we are not a part of Southlake Hospital****

Responsibilities:

  • Greet patients and manage check-in/check-out processes with professionalism and empathy
  • Schedule appointments, manage referrals, and coordinate follow-up visits
  • Answer phone calls and respond to patient inquiries in a courteous and efficient manner
  • Maintain and update patient charts using electronic medical records (EMR)
  • Prepare and process forms, correspondence, and physician documentation
  • Communicate with hospitals, other clinics, and healthcare providers as needed
  • Scan documents and assist with general administrative duties
  • Support physicians and clinical staff in ensuring smooth daily clinic operations
  • Be flexible to assist with clinic needs and provide coverage for the sterilization role during lunches, vacations, and other absences

Qualifications:

  • Minimum 1–2 years of experience in a medical office or clinical setting (ENT or specialty experience is an asset)
  • Medical Office Administration Diploma or equivalent training preferred
  • Strong knowledge of EMR systems (Accuro experience is an asset)
  • Must be able to work efficiently and calmly in an extremely busy, fast-paced environment
  • Excellent communication, multitasking, and organizational skills
  • Professional demeanor and ability to work well under pressure
  • High attention to detail and accuracy
  • Willingness to learn and support different roles within the clinic as needed

Hours:

  • Monday to Friday (8:45am - 5:00pm)

Compensation:

  • Competitive hourly wage (starting rate to be confirmed — e.g., $19-$21 per hour, commensurate with experience)
  • Parking, Paid vacation and statutory holidays
  • Supportive team environment
