STRAND IS LOOKING FOR AN OFFICE AND ADMINISTRATIVE ASSISTANT

QUALIFICATIONS

  • Minimum 1–2 years of experience in an administrative or related role
  • Post-secondary education related to the role is an asset
  • Professional and polished communication style with a positive, energetic attitude
  • Calm under pressure and able to think quickly on their feet
  • Highly organized, hardworking, and skilled at multitasking
  • Strong attention to detail with a high degree of accuracy
  • Excellent verbal and written communication skills with sound judgment
  • Proactive team player who also performs well independently
  • Basic accounting knowledge is an asset
  • Proficient in MS Word, Excel, and PowerPoint; familiarity with Outlook, SharePoint, and Microsoft Teams is an asset
  • First Aid Level 1 certification is an asset
  • Willingness to learn and take on new challenges
  • Able to safely lift up to 50 lbs.

DUTIES & RESPONSIBILITIES

The Office and Administrative Assistant provides general office support and assistance to the accounting department and other teams as needed. Responsibilities include, but are not limited to:

  • Perform reception duties, including answering phones, greeting guests, and managing boardroom schedules
  • Manage incoming and outgoing mail, including sorting and mailing cheque payments
  • File invoices, documents, and maintain company records
  • Prepare archived files for long-term storage
  • Maintain cleanliness and organization of common areas (printer room, kitchen, boardrooms)
  • Update and maintain tracking schedules
  • Provide support with IT set-up and phone system management
  • Assist the EA/Office Manager with day-to-day office operations
  • Purchase and maintain office supplies and groceries within budget
  • Manage incoming "info" emails and distribute as required
  • Assist/lead office health and safety initiatives, including acting as Office Fire Warden and Occupational First Aid Attendant (training provided)
  • Lead smaller office events and support the execution of larger events in collaboration with other administrative staff
  • Assist other departments with purchasing and perform monthly Visa reconciliations
  • File annual reports and maintain company minute books and legal records
  • Support accounting with mid-month and month-end vendor mailouts
  • Maintain communication with vendors as needed
  • Manage Accounts Payable inboxes
  • Maintain envelope counting tracker for mailout
  • Prepare the rent roll summary
  • Create and manage the invoice approval calendar, including sending reminders and reporting
  • Provide administrative support to accounting and marketing teams as needed
  • Conduct bank visits as required
  • Support members of the executive team with ad hoc tasks
