Compensation: $55,000-$75,000 annually

The Executive Support Liaison provides comprehensive, confidential, and proactive support to the General Manager of K'en T'em Limited Partnership, and the Executive Director of Citxw Nlaka'pamux Assembly (the "Executives"). This role functions as extensions of the Executives, supporting the full scope of responsibilities to ensure priorities move forward efficiently and effectively. This role requires strong judgment, initiative, cultural awareness, and a high level of trust within the community and organization.

Primary Duties

Executive, Strategic & Project Support

  • Draft, edit, and format correspondence, reports, briefing notes, presentations, and other materials on behalf of the Executives,
  • Compile information from departments, partners, and projects into clear summaries and reports to support the Executives' planning and decision-making,
  • Track initiatives, action items, and deadlines, and proactively follow up to ensure progress and completion for commitments made by the Executives,
  • Support planning and coordination of organizational and partnership initiatives involving KTLP and, where applicable, the Citxw Nlaka'pamux Assembly (CNA), in support of the Executives' priorities,
  • Prepare meeting materials, agendas, background documents, and follow-up summaries for meetings attended by the Executives,
  • Maintain action logs and support accountability for commitments made by or to the Executives,

Communications & Calendar Management

  • Manage and coordinate calendars for the Executives, ensuring alignment with priorities and deadlines,
  • Schedule and coordinate meetings, travel, and logistics on behalf of the Executives,
  • Monitor and triage email and other communications for the Executives, draft responses where appropriate, and flag urgent or sensitive matters,
  • Serve as a professional first point of contact for the Office of the General Manager when appropriate, on behalf of the Executives,

Liaison & Relationship Coordination

  • Support communication and coordination between KTLP and CNA, and between the Executives and internal and external partners,
  • Track correspondence, commitments, and next steps related to partnerships, governance, and operations involving the Executives,
  • Represent the Office of the General Manager professionally in meetings and community settings when required, on behalf of the Executives,
  • Support relationship management by ensuring timely follow-up and consistent communication in support of the Executives' priorities,

Executive Logistics & Concierge Support

  • Provide practical, day-to-day support to enable the Executives to remain focused on organizational and community responsibilities, including coordinating or assisting with meals, transportation, and time-sensitive logistics when they directly affect work schedules,
  • Assist with local transportation, pick-ups, or deliveries related to meetings, events, or urgent scheduling needs,
  • Support last-minute or unplanned logistical needs that affect the Executives' availability or participation in meetings and community obligations,
  • Where necessary, assist with limited personal logistics (such as brief childcare-related transportation) when these directly affect the Executives' ability to fulfill work obligations,

Operational & Clerical Support

  • Support administrative processes including document management, purchasing requests, expense tracking, and basic contract documentation in support of the Executives,
  • Maintain organized and confidential physical and digital filing systems for materials related to the Executives' work,
  • Complete clerical tasks including data entry, copying, scanning, and document preparation as needed to support the Executives,
  • Provide hands-on administrative assistance to ensure smooth daily operations of the Office of the General Manager in support of the Executives,

Confidentiality & Professional Standards

  • Handle highly sensitive information related to the Executives' work with strict confidentiality and professionalism,
  • Exercise sound judgment when managing sensitive communications and materials involving the Executives, and
  • Maintain professional and culturally respectful conduct at all times when representing or supporting the Executives.

Knowledge, Skills and Abilities

  • Ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment,
  • Strong organizational and administrative skills with a high level of attention to detail,
  • Excellent written and verbal communication skills, with a relationship-based and respectful communication style,
  • Ability to manage competing priorities in a fast-paced environment while effectively prioritizing, multitasking, and managing time,
  • Demonstrated initiative and ability to anticipate needs and take action with minimal direction,
  • Strong interpersonal skills and the ability to build trust and work effectively with leadership, staff, partners, and community members,
  • Proficiency in Microsoft Office productivity software, including Outlook, Word, Excel, and related tools, with solid general computer skills, and
  • Ability and willingness to learn nłeʔképmx cultural values, community protocols, and organizational practices, while recognizing and respecting cultural diversity.

Experience and Requirements

  • 2–5 years of experience in executive support, senior administrative, office coordination, or similar roles supporting leadership,
  • Post-secondary education in Business Administration, Office Administration, Public Administration, or a related field is an asset,
  • Experience supporting senior leadership, boards, or complex multi-stakeholder environments is an asset,
  • Experience compiling reports, drafting correspondence, coordinating meetings, and tracking follow-ups and action items,
  • Valid BC Class 5 Driver's License and access to a reliable vehicle,
  • Ability to work flexible hours, including evenings and occasional weekends, as required by Executive and community schedules,
  • Vulnerable Sector Check is required, and
  • A strong desire to learn, grow, and contribute positively to a collaborative and community-focused organization.

Work Environment

  • Schedule: Monday through Friday, 8:30 am – 4:30 pm, with a 1-hour lunch. Regular flexibility is required for meetings, events, and community obligations during evenings and occasional weekends. On average, 35 hours per week,
  • Overtime: All daily overtime over 8 hours will be banked at 1.5x; all hours over 12 in a day will be banked at 2x, in accordance with policy,
  • Reporting Office Location: Office work will be conducted from the CNA Office at 2025 Granite Ave., Merritt, BC, with travel required for meetings and community engagement,
  • Vacation: Two (2) weeks paid vacation (10 working days), accrued at 0.84 days per month,
  • Winter Break: Two (2) weeks paid winter break (maximum 10 working days),
  • Benefits: 50% of benefit premiums paid by the employer,
  • Pension: Pension matching program, with employer contribution increasing based on years of service, and
