Gastown Hastings Crossing Community Policing Centre (GHXCPC)

Status: Part-Time (20–24 hours per week)

Reports to: Executive Director

Location: 109 West Hastings Street, Vancouver, BC

About the Opportunity

The Gastown Hastings Crossing Community Policing Centre (GHXCPC) is a newly established, grassroots, non-profit organization committed to fostering safe, inclusive, and connected communities through volunteer engagement and community safety programming. Serving as an engaging hub for community safety initiatives in the Gastown and Hastings Crossing areas, GHXCPC is a registered non-profit society governed by a volunteer Board of Directors. Our operations are coordinated with residents, the Vancouver Police Department, and community organizations to address safety concerns, promote crime prevention, and build connection across diverse populations.

Position Overview

The Administrative and Program Assistant supports the daily operations of the GHXCPC and assists with communications, data management, and volunteer coordination. This position is ideal for someone who is detail-oriented, creative, and comfortable balancing administrative tasks with outreach and digital communications.

Key Responsibilities

Office & Administrative Support

  • Provide general administrative support to the Executive Director and Programs Manager.
  • Maintain and organize filing systems (physical and digital) and ensure compliance with privacy standards.
  • Assist with bookkeeping and data entry in QuickBooks.
  • Assist in maintaining service agreements (leases, paying invoices, insurance, WCB, operating agreements, etc.
  • Track program statistics and generate monthly reports in Excel.
  • Maintain office supplies, equipment, and basic IT troubleshooting.
  • Respond to public inquiries and assist with reception coverage as needed.

Communications & Marketing

  • Assist with the creation of outreach materials, posters, and social media content using Canva.
  • Support website updates and community newsletters.
  • Assist in promoting volunteer opportunities and community events.

Volunteer & Program Support

  • Maintain volunteer records in Better Impact (training provided).
  • Support the coordination of community events and workshops.
  • Help compile reports and presentations for the board and funding partners.

Qualifications

Education & Experience

  • High school diploma required; post-secondary education in business administration, communications, or related field is an asset.
  • Minimum 2 years of administrative or office coordination experience (non-profit or community sector experience an asset).

Skills & Competencies

  • Proficient in Microsoft Excel, SharePoint, Word, and Outlook.
  • Skilled in QuickBooks
  • Experience using Canva and social media for outreach.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills — verbal and written.
  • Comfortable working independently and as part of a small, community-focused team.

Requirements

  • You must be a Canadian citizen or permanent resident to be eligible for this position.
  • The successful candidate will be required to pass a Vancouver Police Department Information Check and Vulnerable Sectors Screening Check.
  • Ability to occasionally adjust work hours as required (nights and weekends)

Compensation

Salary range is $25–$28 per hour, commensurate with experience. Benefits package and vacation leave provided.
