Job Title: Full-time Permanent Administrative Assistant
Location: Burnaby, BC
Hours: 35 hours per week - Monday to Friday; 9:00am to 4:30pm (1/2 hour lunch)

Key Responsibilities:
- Provides administrative support in the Membership and Dues area.
- Receive and process members' dues, both in person and over the phone and update the information into the Membership database.
- Completing membership and dues check offs and following up with discrepancies, notifying employers of outstanding dues and the annual Defence Fund payment.
- Provides administrative support to the Dispatcher.
- Receive and enter into UnionWare all incoming resumes and documents to join our union, requests to travel to our local, and applications for jobs posted on our website.
- Issue invoices for permits and keep all pertinent records in a yearly filing system.
- Print and mail out Dispatch warning letters weekly.
- Receive Local Union and International Death Benefit documentation for payment and mail cheque to Beneficiary.
- Provide vacation and sick day coverage for receptionist.
- Provide daily switchboard relief by fielding walk-in and telephone inquiries and forward accordingly.
- Provide backup coverage for other Administrative Assistants in the Membership and Dues Department.
- Assist with mail out of Dues Tax receipts annually.
- Assist with mail outs.
- Other duties as required.
Education and Experience:
- Secondary school diploma required.
- A minimum of 3-5 years' experience in an administrative role an asset.
- A post-secondary diploma in business administration or relevant discipline preferred.
- Data Entry Management experience preferred.
Requirements:
- Intermediate with Microsoft Office Suite (Outlook, Word, and Excel).
- Strong team player with the ability to function in a multi-task environment on a professional and timely basis.
- Ability to maintain a high degree of accuracy and attention to detail.
- Strong organizational skills with the ability to balance competing priorities and effectively deal with changing situations or priorities.
- Strong verbal communication and interpersonal skills together with a customer service focus and a professional and respectful approach.
