Job Summary

The Shirin Group is seeking an experienced and professional Office Manager & Executive Assistant to provide administrative and operational support across multiple hospitality and business units. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Hospitality experience is considered an asset.

Key Responsibilities

· Oversee daily office operations and administrative tasks.

· Manage calendars, coordinate meetings, and handle scheduling.

· Maintain organized filing systems and prepare reports or correspondence.

· Take meeting minutes, prepare agendas, and ensure follow-ups are completed.

· Process and audit payroll accurately and confidentially.

· Assist with HR initiatives, including job postings, interview coordination, reference checks, and offer letter preparation.

· Support operational meetings by preparing materials, booking boardrooms, and documenting action items.

· Assist with hotel procurement, vendor coordination, and inventory tracking.

· Respond to guest feedback through review and survey platforms as needed.

· Enter accounts payable invoices and maintain financial records in QuickBooks.

· Perform errands and other administrative duties as required.

· Provide executive support to management and assist with special projects.

Qualifications & Skills

· Minimum 4 years of administrative or office management experience (hospitality background preferred).

· Diploma in Business Administration, Human Resources, or Office Administration, or equivalent combination of education and experience.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive), Skype for Business, and QuickBooks.

· Strong attention to detail, organization, and time management.

· Excellent written and verbal communication skills.

· Ability to handle confidential information with professionalism and discretion.

Self-motivated, reliable, and able to work independently.
