Immigration Case Manager

Canada By Choice is seeking a highly organized and detail-oriented Immigration Case Manager to join our team. This individual will play a key role in supporting the Immigration Consultant by managing client cases, conducting research, and ensuring the smooth operation of the office. The ideal candidate will possess strong communication skills, a proactive approach to tasks, and experience or education in law-related fields, particularly immigration law.
Key Responsibilities:
Case Management & Client Support:
- Assist the Immigration Consultant in managing and progressing client cases efficiently.
- Communicate regularly with clients via phone, text, and email, providing updates, answering inquiries, and ensuring clients are well-informed throughout the process.
- Conduct thorough case research, gather relevant information, and prepare documentation for immigration cases.
- Fill out immigration applications and forms accurately and in compliance with legal requirements.
- Collect, verify, and organize client documentation, ensuring all necessary documents are provided and maintained throughout the case.
- Review, proofread, and format legal documents to ensure accuracy and compliance with legal procedures and grammatical standards.
Administrative & Office Support:
- Maintain organized filing systems for confidential client records and ensure data is stored and managed securely.
- Open and distribute incoming mail and manage the flow of information within the office.
- Develop and maintain office procedures and routines to ensure efficiency and smooth operation.
- Assist in supervising and training other staff on office procedures and the use of current software as needed.
Collaboration with Case Workers:
- Work closely with case workers to manage and organize client files, ensuring all necessary documentation is in place.
- Assist in case file management, ensuring files are updated, complete, and easily accessible for the team.
- Coordinate with case workers on the progress of ongoing cases and provide updates to the Immigration Consultant.
Additional Responsibilities:
- Perform general office duties, including updating files, maintaining office cleanliness, and ensuring an organized environment.
- Support in other administrative tasks as required to ensure smooth day-to-day operations.
Qualifications:
Must-Have:
- Bachelor's degree or equivalent experience in a law-related field.
- 1-2 years of experience in case management, legal assistance, or a similar administrative role (preferably in immigration law).
- Excellent communication skills, both written and verbal, with a professional demeanor.
- Strong attention to detail and the ability to manage multiple tasks effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite and legal office software.
- Ability to work independently and collaboratively with a team.
