We are seeking a detail-oriented, highly organized Executive Legal Assistant to support our Principal Immigration Consultant in delivering exceptional service.
Position Overview
The Executive Legal Assistant will provide high-level executive, administrative, and legal support to the Principal Immigration Consultant. This role requires a strong understanding of Canadian immigration processes, exceptional organizational skills, and the ability to manage sensitive information with professionalism and discretion. The ideal candidate should have prior experience as a Personal Assistant and at least one (1) year of hands-on experience in Canadian immigration.
Key Responsibilities
- Provide executive-level administrative support to the Principal Immigration Consultant, including calendar management, scheduling, travel arrangements, and meeting coordination.
- Draft, prepare, and organize immigration application forms, supporting documents, affidavits, and correspondence.
- Assist in preparing case files for submission to IRCC, IRB, provincial nominee programs, and other government bodies.
- Monitor case progress, deadlines, and client deliverables to ensure timely submission and follow-up.
- Maintain client records and ensure accurate data entry into internal case management systems.
- Liaise with clients professionally by managing emails, phone calls, appointment reminders, and document requests.
- Conduct preliminary research on immigration regulations, program updates, and relevant policies as directed.
- Manage confidential information with utmost discretion and comply with company policies and regulatory standards.
- Support the Principal Consultant with internal projects, reports, and operational tasks as needed.
Qualifications & Requirements
- Minimum 1 year of Canadian immigration experience (IRCC applications, PNPs, LMIA, study/work permits, PR, citizenship, etc.).
- Previous experience as a Personal Assistant or Executive Assistant (mandatory).
- Strong knowledge of Canadian immigration forms, procedures, and documentation requirements.
- Excellent written and verbal communication skills.
- High attention to detail and strong organizational abilities.
- Proficiency in MS Office Suite and case management software (e.g., IRCC portals, CRM tools).
- Ability to manage multiple priorities in a fast-paced environment.
- Discretion, professionalism, and strong client-service orientation.
Preferred Assets
- Experience working in an immigration consultancy or law firm.
- Familiarity with IRCC portals, GCKey, and authorized representative systems.
- Additional languages spoken (asset but not required).
