We are an established Industrial/Commercial Construction company with over 70 years in business, located in central Mississauga (Dundas and Cawthra) and accessible by public transit. We are seeking a versatile, detail-oriented individual for a full-time General Administrator position. This role will work closely with our Accounts Payable, Payroll, and Accounts Receivable teams, providing support and managing overflow tasks across all departments.

Pay: From CA$26.00 per hour ($52,000 - $57,000 annually)

Responsibilities and Duties (we will help a talented person gain industry specific skills):

Accounts Payable Duties

  • Maintain and update vendor/supplier account information in Sage 300 ERP.
  • Process incoming vendor invoices: code accurately and circulate to Project Managers for approval.
  • Track, record, and follow up on Project Manager payment-release approvals.
  • Review vendor statements regularly and request any missing or outstanding invoices.
  • Reconcile weekly and monthly vendor transactions (e.g., Visa, fuel cards, 407, waste disposal, equipment rentals, etc.).
  • Sort, organize, and file approved invoices to maintain accurate and accessible records.
  • Assist with cheque-run procedures, including contacting vendors to notify of payment releases and obtaining and recording EFT information.
  • Data entry as required

Payroll Duties

  • Review weekly crew timesheets for accuracy and completeness, and update entries as required.
  • Circulate timesheets to Project Managers for approval and follow up on outstanding approvals.
  • Assist with additional payroll processes, including data entry, adjustments, and general administrative support as needed.

Accounts Receivable Duties

  • Run project cost reports and review them with Project Managers to confirm job status and billing readiness.
  • Prepare and issue invoices for completed projects in a timely and accurate manner.
  • Follow up with Project Managers regarding outstanding information, billing updates, or project completion details.
  • Assist with additional AR processes, including data entry, corrections/adjustments, and general administrative support as required.

Qualifications and Special Skills (please note that skills testing may occur during interview phase):

  • Superior English language skills– must be able to draft concise, comprehensible and professional correspondence and be able to proofread existing documentation to produce same;
  • Good mathematical abilities and comfort managing large amounts of data in an organized and logical fashion;
  • Must be comfortable working in a fast-paced, deadline-driven environment and very comfortable multi-tasking;
  • Ability to work efficiently and swiftly both on your own and as a member of the administrative/project management teams;
  • Will waive experience for "Top of Class" graduates from College or University. We are looking for a smart person who can learn quickly and can grow into a senior administrator role quickly.
  • High proficiency with MS Office suite, in particular, Excel, but also Word and Outlook;
  • Strong organizational abilities and computer skills, and superior attention to detail;
  • Construction industry experience/knowledge helpful
