Administrative Assistant

**Responsibilities and Duties**
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Create invoices and PO’s, follow up on AR and maintain AP and company payroll submission to accounting. Knowledge of Quick books required
- Order and maintain office and production inventory
- Implement and coordinate packing and shipping of mascots to meet key production and shipping deadlines
- Deep cleaning and maintenance (repair jobs) of our client’s mascots
- Performing general office and administrative tasks such as filing paperwork, responding to clients inquires, answering phone calls and sales inquiries
- Keep databases, reports, production schedule ,, inventory, etc updated regularly
- Preparing and maintaining production files and schedule
- Maintain all company record files
- Maintain professional client communication during sales and production process
- Assisting production manager or other departments as and when required
**Qualifications and Skills**
- Strong organizational and time management skills
- Strong verbal and written skills
- Comfortable with lifting 50lbs +
- MS Office and Quick books efficiency necessary
- Ability to work independently and as a member of a team
- Experience in a production environment is advantageous
- Detail oriented and ability to meet deadlines
