Bookkeeper/Office Administrator

Position Summary:
We are a small but growing Dairy Trading company seeking a highly organized and detail-oriented Bookkeeper / Office Administrator to manage financial records and oversee daily office operations. This dual-function role is ideal for a self-starter who thrives in a fast-paced, hands-on environment.
Proficiency in Microsoft Dynamics 365 is required.
Key Responsibilities:
Bookkeeping & Financial Management
- Maintain accurate and current financial records, including:
- Invoices
- Purchase orders
- Accounts payable and receivable
- Payroll
- Bank statements
- Reconcile accounts and resolve discrepancies in a timely manner
- Process financial transactions, including journal entries and general ledger updates
- Prepare and analyze financial statements and reports, including:
- Income statements (P&L)
- Balance sheets
- Cash flow statements
- Monitor cash flow and assist with budgeting and forecasting
- Ensure compliance with current accounting principles, standards, and regulatory requirements
- Support year-end processes and liaise with external accountants/auditors
- Manage foreign exchange
- WSIB payments
- GST/HST
- Corporate insurance
Systems & Process Management
- Utilize Microsoft Dynamics 365 for financial management, reporting, and automation of key tasks
- Review and improve internal accounting procedures to enhance efficiency and accuracy
- Maintain a strong internal control environment across all financial processes
- Knowledge of ADP for Payroll
- Knowledge of Microsoft suite of products including Teams, Excel, Word,
Office Administration
- Oversee day-to-day office operations, including:
- Managing correspondence
- Ordering supplies
- Filing and document control
- Provide administrative support to company leadership
- Maintain well-organized digital and paper-based filing systems
- Manage TRQ applications and transactions for all dairy products
- Assist with other operational and administrative tasks as needed
Essential Skills and Qualifications:
- Bachelor's degree or College certificate in Accounting, Finance, or a related field
- 5–7 years of experience in bookkeeping or accounting roles
- In-depth knowledge of accounting principles and procedures
- Proficient in using Microsoft Dynamics 365 Business Central
- Strong analytical and problem-solving skills
- Exceptional attention to detail and high level of accuracy
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a collaborative team
Preferred Experience (Nice to Have):
- Previous experience in the food trading, agricultural, or commodities sector
- Familiarity with payroll systems ADP and HR administration
