Birnie Electric is an established electrical contractor operating in the Greater Toronto Area for more than 50 years. We are seeking an organized, proactive, and customer focused Administrative Assistant to cover a maternity leave in our Electrical Services division.

Position Overview:

  • Serves as the first point of contact for inbound calls from customers, taking crucial information regarding the services they are interested in, and communicating that to our electricians and service manager.
  • Provides support and manages the schedule for our Residential, Communications, and Service teams.
  • Creates and issues invoices, collects payments, and follows up with customers regarding outstanding payments.

Duties & Responsibilities:

  • Deliver first class customer service and support for all stakeholders, include customers/clients, electricians, and office teams.
  • Schedule and dispatch electricians under the direction of the Electrical Services Manager.
  • Generate and issue invoices for HomeSafe, Qmerit, and Electrical Service customers.
  • Support the Electrical Services Manager in collecting outstanding invoices by following up with clients for payment approval, addressing issues that delay payment, and tracking quotes and payment status as needed.
  • Liaising with local utility companies and Electrical Safety Authority (ESA) to obtain necessary permits, schedule inspections, and arrange hydro shutdowns.
  • Ensure field staff collect ERA fees and other receivables upon completion of residential service work.
  • Maintain organized filing systems for all service project-related documents, including ESA permits, invoices, closeout documents, and other required records.
  • Providing general administrative support to the electrical services manager and team.
  • Perform additional administrative duties as assigned.

Qualifications:

  • 1-3 years of administrative experience, preferably in an electrical, construction, or service-based environment.
  • Previous experience as a receptionist and/or dispatcher is an asset.
  • Proficiency with MS Office (Outlook, Excel).
  • Experience with Jonas and Accubid software is considered an asset.
  • Familiarity with Utilities and Electrical Safety Authority (ESA) processes is considered an asset.
