This role is a critical part of our front office team. Answering phones and directing traffic for inbound phone calls, supporting office administration, and generally help make our office an amazing place to work. We are a smaller company, and we work on a wide range of products and services that let us create a stable business not tied to any specific industry.
Essential Job Tasks
- Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately
- Answering screening and forwarding incoming phone calls
- Receiving and sorting daily mail
- Supporting office administration which varies based on your strengths and interests, we can help develop directions in towards finance and accounting, marketing and graphical design.
- Support accounting team by assisting with data entry of payables, matching item receipts, filing, etc.
- Order front office supplies and keep an inventory of stock
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs
- Support marketing and or finance team operations
- Update calendar and schedule meetings
**Qualifications**:
- Proven work experience as a Receptionist, Front Office Representative, Accounting Assistant or similar role
- Proficiency in Microsoft Office Suite, G Suite (Google Gmail, Docs, Sheets).
- Desire to learn more about the accounting world. Experience with Quickbooks Desktop would be a nice to have.
- Hands-on experience with office equipment (e.g. photocopiers and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
We work a 8-hour shift, Monday to Friday, and this position is in our Sturgeon County headquarters, a short drive outside St. Albert.
