**Overview**

We are looking for an Office Administrator who is energetic, entrepreneurial, has a high attention to detail, and who takes pride in their work. This individual will have a lot of independence but will also need to fit in with the friendly dynamic of the current employees. Given the nature of our growing business, the Office Administrator will have to wear multiple hats. They will be experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. They bring a learning mindset, great organizational skills, a flexible nature, and enjoy the administrative challenges of supporting an office of diverse people/tasks.

The Office Administrator will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. The Office Administrator is responsible for office organization, office maintenance and security, file and records management, purchasing, client invoicing, streamlining administrative procedures, scheduling, basic accounting, Accounts Receivable follow up, and workplace safety compliance initiatives to achieve maximum efficiency, expense control, and productivity. Level of responsibility is projected to expand with organizational growth and may ultimately include supervising other administrative staff. **Essential Job Functions**
- Organize the daily operations of our office and work sites, ensuring seamless coordination between the two.
- Continuously seek opportunities for process improvements and implement best practices.
- Maintain accurate documentation, including permits, contracts, work orders, and budgets through T-JACS system.
- Responsible for overseeing the accounting function within the company. This includes accounts payable/receivable, bank reconciliation and invoicing through QUICKBOOKS as well as payroll through CERIDIAN.
- Invoicing: the type of invoicing performed is considered more intensive. It includes “building” the invoice. Due to the nature of the business, the Office Administrator will be required to input electrical material, sub-contractor services, labour, permits, etc. to create invoices. There will be thorough training on this area of the job.
- Implementing, monitoring and improving our company safety program, this may include: conducting site inspections, completing required documentation, attending safety meetings, etc.
- Managing safety documents and training courses for the company.
- Coordinating appointments and meetings, managing staff calendars and schedules.
- Completing procurements as needed.
- Assists business development staff with database management, presentation materials, and and planning special events.
- Purchasing of office supplies, equipment, and furniture. Also oversees maintenance of office facilities and equipment.
- Other duties as assigned.

**Required Education and Certifications**
- Minimum high school diploma and/or college program, certification as an administrative professional desired.
- Minimum of 5 years’ experience in an administrative and/or supervisory capacity.
- Experience in electrical, construction, oil & gas industries a plus.
- Valid Class 5 driver’s license.
- Workplace First Aid (training can be provided).
- SECOR Certificate - Small Employer Certificate of Recognition to improve health & safety performance (training can be provided).

**Skills and Abilities**
- Exceptional Communication skills, writing skills, people skills, & technical skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Self-directed and motivated to maintain & improve our program.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Working knowledge of QuickBooks.
- Knowledge of the construction industry, specifically the electrical trade and electrical safety, would be an asset.
- Strong attention to detail and accuracy in completing tasks.
- Ability to work independently and as part of a team.
- Ability to analyze complex problems, think critically, and implement effective solutions.
- Passion for maintaining high safety standards and creating a positive work environment.

**Physical Demands**

Work is performed primarily in an office setting. Employee is frequently required to stand, walk, sit, climb stairs, bend, balance, stoop, kneel, crouch. Employee may lift and/or move up to 25 pounds.

Regular working hours are 8:00 a.m. to 4:30 p.m. Monday through Friday with a half hour for lunch. There may be periods where overtime will be required, which the employee will need to comply with in order to meet the demands of the position.
