As an Administrative Assistant you are responsible for contributing to the overall efficiency and effectiveness of Vitrum Glass. This role involves a variety of tasks including front desk reception, directing requests and inquiries to the appropriate party, administration coordination, and ensuring smooth office operations. This role requires attention to detail, organization, and the ability to handle multiple tasks with a high level of professionalism.

**Responsibilities**:

- Answer telephone calls and greet office visitors in a prompt and courteous manner.
- Ensure that requests and messages are handled and directed to the appropriate party.
- Process incoming and outgoing mail and deliveries as required.
- Maintain and update contact list.
- Submit and reconcile expense reports as necessary.
- Draft, edit, and compose correspondence.
- Data entry tasks.
- Coordinate preparations of company orientation documents, training documents, presentations, and purchase orders including compiling, editing, formatting, binding, and distributing.
- Provide administrative support to the Shipping Department
- Organize meeting rooms and restock meeting room fridges.
- Coordinate and schedule vendor, supplier, and contractor services as needed.
- Order and organize office and maintenance supplies, coffee, snacks, meals, and water as needed.
- Organize, copy, and scan documents and files as required.
- Plan and schedule events, meetings, appointments, and reservations.
- Other duties, as assigned.

Required Qualifications
- More than three years of experience in an Administrative Assistant role.
- Proficient knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Teams.
- Valid driver’s licence.
- Open to working after hours and on some weekends.
- Strong written and verbal communication skills.
- Professional, accommodating, and resourceful.
- Extremely organized.
- Strong multitasking and time-management skills.
- Can handle sensitive information with the highest degree of integrity and confidentiality.
- Strong attention to detail.
- Resourceful, can-do attitude, and solution focused.
- Comfortable interacting with all levels of the business including high-level executives and production workers.
- Ability to work in a fast-paced environment and keep organized.
- Able to take direction and follow through to completion.
- Must be able to work both independently and in a team setting.
