**The Opportunity**:
The Administrative Assistant position is central to the effective functioning of the Corporate Properties team by providing administrative assistance and superior customer service to support the day-to-day operations of the department. You will work closely with all team members to support projects related to delivery of the department’s core services and provides customer service to other City departments and external customers and stakeholders.

Other responsibilities include:

- Lead the department’s administrative work including file management (SharePoint), taking minutes and actioning items for distribution, prepare mailouts to residents to support road acquisitions, and create community engagement
- Assist the team with the execution of a variety of projects, including preparing presentations, compiling reports, proofreading, formatting documents and conducting research
- Provide support for department budget processes, including creating purchase orders, processing and reconciling invoices and credit card statements and resolving issues associated with vendors regarding shipments, billing and statements
- Maintain the Corporate Properties land inventory, prepare standard Land Titles forms and perform land searches using SPIN 2
- Environment Support:

- Maintain the contaminated land database/inventory. Support Public Land Act disposition renewals
- Leasing Support:

- Provide communication to the tenants, prepare standard leases/licenses and goods and services agreements, based on approved templates
- Monitor leases/licenses and general operating agreements for renewal deadlines and receive annual certificates of insurance

**You Bring**:

- Completion of a certificate or diploma in Business Administration, Office Administration or a related field
- APC Certification and/or Canadian Certified Administration Professional (CCAP) would be an asset
- At least 3 years of experience as an administrative assistant
- Strong computer skills and thorough knowledge of Microsoft Office including MS Word, Excel, Outlook and SharePoint
- SPIN2 considered an asset
- Strong attention to detail and a high level of accuracy
- Excellent written and verbal communication skills
- Experience managing data and information
- Experience coordinating meetings, agenda’s and minutes
- Aptitude to quickly learn new software and platforms
- Ability to anticipate the needs of the customer as well as the team and take appropriate action
- Exceptional customer service skills and an innate desire to assist others
- Dependability and initiative-taking, with demonstrated resourcefulness and effective problem-solving skills
- Ability to quickly align with shifting priorities, work assignments and timelines
- Willing to accommodate a flexible work schedule
- Ability to be a positive influence in a team-setting
- A growth mindset with desire to learn

**Additional Information**:
This full time two (2) year term position (37.5 hours per week) includes a comprehensive benefits package.

There is a possibility to extend the term for the third year.
