We are seeking to add an experienced full-time Administrative Assistant to our team. This position will blend administrative duties and strong communication skills. Having previous accounting and/or tax knowledge is a definite asset. This individual will possess strong time management, excellent communication skills, IT knowledge, a willingness to learn. The position will see the individual focus upon providing support to the client managers.

**What is your typical week ?**

In the morning, you will work with the KMA team to ensure that letters and other documents are prepared and sent to clients. You will receive communications, payments, and other forms of correspondence and direct those to the appropriate staff member. For some queries, you will book meetings or send a response.

You will book meetings as needed.

In the afternoon you will follow up with clients to obtain additional information as needed. This may be obtaining signatures on documents, it may to be request additional information so that a task can be completed. It is never the same item twice.

You will greet clients that visit the office and inform the staff member that the clients are in office.

Some afternoons you will be assembling packages of financial statements, letters, and tax returns to be sent to clients. Many of these documents go out in a Docusign package for signatures.

- Liaise directly with other members of the administration team to ensure a quality and timely experience
- Ensuring that key documents are sent and received promptly.
- The ability to learn a wide variety of assigned tasks
- To successfully multitask on a day-to-day basis
- Provide support to the partners
- Ability to work additional hours and weekends during the months of March and April
- Team Player
- Very strong knowledge of MS Office
- The ability to communicate clearly and concisely with diverse groups.
- Possessing a strong drive to ensure that assigned tasks are completed in a timely manner
- Ability to work under stressful situations created by increased workload during Tax Season
- Proven and effective ability to communicate in writing and possess interpersonal skills
- Ability to prioritize workload and manage multiple tasks
- A desire to learn new skills and knowledge.
- Positive attitude

**Qualifications**:

- Post-secondary education is a definite asset. (Such as a certificate in Office technology)
- Strong knowledge of Word - the ability to format various documents to meet firm’s standard of presentation
- Strong knowledge of MS Teams - the knowledge to arrange group meetings.
- Moderate knowledge of Excel
- Moderate knowledge of Adobe Acrobat Pro
- Familiarity with Docusign

**Work Location**

This is a in-person position.

**Compensation**:
The range of pay is $24 to $31 per hour.

Pay: $24.00-$31.00 per hour

Expected hours: 35 per week

Additional pay:

- Overtime pay
