**Qualifications**:
- Education/credentials relevant to Office Administration, or equivalent combination of education and experience.
- Post Secondary Education in Business or related field.
- Minimum 1-2 years’ experience in an assistant, coordinator, or administrative role**.**
**Responsibilities**:
- Provide general administrative support to ensure the smooth running of an office on a day-to-day basis.
- Troubleshoot and/or escalate office administration issues.
- Ensure customer waiting areas, meeting rooms, kitchens and washrooms are stocked and clutter free.
- Place office supply requisitions (i.e.: iCafe order, general office equipment, office supplies)
- Assist in procurement of preferred rates from suppliers of goods and services.
- Co-ordinate Executive’s schedule, including meetings, events, speaking engagements, appointments, reservations, travel bookings, and trip management.
- Remain aware of the Executive’s schedule, updating and alerting them proactively regarding engagements and possible timing conflicts related to prospective or confirmed appointments.
- Manage the Executive's receipts and complete monthly expense reports.
- Organize year-end cards/gift baskets for clients/Executive’s contacts.
- Manage yearly MLSE tickets for Raptors/Leafs and TFC Games - create scheduling for games and allocate accordingly.
- Schedule office meetings/external meetings when required.
- Record minutes at various meetings and distribute or archive them accordingly.
- Oversee and support in coordinating all internal and external company events ie: Social Committee
- Maintain a well-organized electronic/paper filing system that permits easy reference and rapid information retrieval.
- Work with the accounting team to process cash receipts (E-transfers, Cheques, Cash, EFT’s, Wires) and cash disbursements (Broker Cheques, Clearpay).
- Daily monitoring of shared inbox and processing incoming payments in broker management system.
- Assist Finance team with ad hoc requests as required.

- Excellent interpersonal and oral communication skills.
- Proficient in English usage, spelling, grammar, and punctuation.
- Ability to exercise good judgment, show initiative, and be proactive.
