Executive Assistant

TL;DR - We are a quickly growing engineering firm seeking a strategic partner to work with and alongside one of our principals, Adam Palmer. This role will focus on maximizing his efficiency and productivity, as well as amplifying his impact both internally and with key external stakeholders or clients.
Overview
This role is a blend of typical Executive Assistant duties along with the opportunity to involve yourself in projects that suit your interests and career growth goals. One of co-elevate’s Principals is looking for a strategic partner to join the Corporate team and assist him with his workload. This is _not_ just an administrative role, though much of the daily work will be administrative in nature. Your partnership will enable Adam to prioritize networking and building co-elevate’s book of clients to drive future growth.
Objectives of this role
- Partner with Adam Palmer to reduce his administrative workload
- Provide strategic support as needed to amplify Adam’s impact
The Must-Have’s
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Detail-oriented, able to manage several ongoing tasks concurrently
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Ability to maintain confidentiality of information related to the company and its employees
- Excellent written and verbal communication
- An aptitude for learning new software and systems
- Growth mindset
The Nice-To-Have’s
- Proficiency with office productivity tools (we use Microsoft Office, Teams, Outlook, and Trello most frequently)
- Familiarity with the Engineering industry and its etiquette
- Familiarity with the Agile system and Scrum
- A knack for process improvement and efficiency
- Based in Kitchener-Waterloo or London and willing to work from the office at least three days per week
The Must-Do’s
- Engage in a daily touch base (in person, virtual, or async) with Adam to review priorities, go over the day’s agenda, and surface any questions, meeting conflicts, or outstanding items for his attention.
- Engage in a daily team standup
- Manage business expenses via CORE
- Manage calendar; meetings internal and external, time blocking for critical activities and tasks, clearing conflicts, keeping calendar tidy and ensuring Adam’s time is being spent productively
- Prepare and send invoices for ongoing projects, remain accountable to each until payment is received
- Comfortably engage with our main productivity tools
- Assist with Client Care and Board of Directors communications
