Position Overview We are seeking a highly experienced, detail‑oriented, and execution‑focused Executive Assistant to provide direct support to the Chief Executive Officer. This full‑time, on‑site role is based in London, Ontario and represents a critical position within the executive leadership infrastructure. The Executive Assistant will act as a strategic administrative partner to the CEO, ensuring operational efficiency, schedule optimization, and seamless coordination across multiple business functions. The role requires exceptional judgment, discretion, and the ability to manage complexity in a fast‑paced, regulated, and high‑accountability environment. Key Responsibilities Manage and optimize the CEO’s calendar, scheduling priorities, and daily workflow. Coordinate internal and external meetings, prepare agendas, track follow‑ups, and ensure execution of action items. Serve as a primary point of contact between the CEO and internal teams, partners, and external stakeholders. Manage professional correspondence and communications with discretion and accuracy. Operational and Administrative Management Prepare, process, and reconcile expense reports and executive related administrative documentation. Maintain organized systems for executive files, records, and documentation. Support preparation of executive briefings, presentations, reports, and meeting materials. Assist with operational tracking of priorities, deadlines, and commitments across the CEO’s responsibilities. Confidentiality and Professional Standards Handle sensitive, confidential, and strategic information with the highest level of discretion and integrity. Maintain a professional executive presence and represent the organization appropriately in all interactions. Anticipate executive needs, identify potential risks or gaps, and proactively resolve issues. Qualifications and Experience Proven experience as an Executive Assistant supporting a CEO, founder, or senior executive. Experience in healthcare, life sciences, professional services, or regulated industries is strongly preferred. Demonstrated ability to manage complex schedules, competing priorities, and time‑sensitive deliverables. Exceptional organizational and time‑management skills with strong attention to detail. Excellent written and verbal communication skills with a polished, professional presence. High level of discretion, judgment, and reliability. Proficiency with modern office productivity tools and digital workflows. Ability to operate independently while maintaining alignment with executive and organizational priorities.
