**Now Hiring: Full-Time Office Administrator**
We are seeking a highly organized and detail-oriented **Full-Time Office Administrator** to join our boutique interior design firm. This vital role supports the daily operations of our studio and provides administrative and coordination support to our team of **three designers**.
**Key Responsibilities**:
- **Bookkeeping & Financial Administration**:
- Use **QuickBooks Online** to create detailed, accurate client invoices
- **Reconcile client jobs** and manage job costing for multiple projects
- Track expenses, vendor payments, and assist in monthly financial reporting
- **Project & Office Coordination**:
- Coordinate **orders, deliveries, installations**, and manage schedules
- Maintain accurate tracking of project milestones and supplier timelines
- Communicate with trades, designers, and vendors to ensure smooth project flow
- **Client & Supplier Relations**:
- Serve as a professional, reliable point of contact for **clients and vendors**:
- Place detailed, accurate orders with suppliers and follow up on lead times
- Support designers by managing correspondence and confirming product specs
- **Office Management**:
- Oversee daily office functions and general organization
- Maintain calendars, filing systems (digital/physical), and studio supplies
- Assist with preparing client presentations, proposals, and documentation
**Qualifications**:
- 4+ years of administrative, office management, or coordination experience (design industry preferred)
- Proficient in **QuickBooks Online** and comfortable managing numbers and invoices
- Excellent **communication** and **interpersonal skills**:
- **Meticulous attention to detail** and high standards of accuracy
- **Punctual**, **reliable**, and highly organized
- Ability to manage multiple projects and tasks in a fast-paced environment
- Familiarity with the interior design or residential construction industry is an asset
