**Position Summary**:
As an Administrative Assistant you will support office functions and activities through the provision of a full range of administrative support and services. You'll work independently and assist with carrying out processes, procedures, and special assignments with mínimal supervision. In this role, you'll develop broad experience, skills and knowledge of organizational policies, procedures, and practices. The Corp Services team knows how important goals are in the workplace and strives to always make them realistic and attainable. You'll be joining a supportive team from all levels of management that invigorates your success at FNHA.
**As a health and wellness organization, the First Nations Health Authority has aligned with the Provincial Public Health Order released on October 14, 2021. We have a mandatory COVID-19 vaccination policy for all employees at First Nations Health Authority. This policy requires all employees to be fully vaccinated against COVID-19. If selected for employment, you will be required to provide proof of vaccination by providing a copy of your BC Vaccination Card Passport with the QR code.**
**Responsibilities**:
- Provide a full range of administrative support, processes, procedures, and services including but not limited to:
- Developing and implementing a full range of administrative systems, processes, procedures, and standards such as correspondence, document and correspondence templates, mail, and document management, call and visitor management, procurement etc.
- Utilizing FNHA systems, procedures and processes supports the team with financial records, reports, documentation, and budget management activities.
- Coordinating team meetings including agenda and document preparation, logistics, minutes, etc.
- Developing and maintaining correspondence and document tracking systems to ensure timelines and other objectives are met.
- Ensuring maintenance, security and confidentiality of files and documents both hard copy and electronic to ensure easy retrieval and in accordance with FNHA policy and procedures.
- Composing and preparing routine and ad-hoc correspondence based on information or notes provided for approval and signature.
- Preparing, formatting, and proofreading a variety of documents and materials such as letters, memoranda, meeting materials, reports, presentation, spreadsheets, etc. from drafts or hand-written notes using desktop tools such as Microsoft Word, Outlook, PowerPoint, etc.
- Supporting team member travel through arranging travel, ensuring completion of authorizations and expense reimbursements document through due diligence and in accordance with FNHA policies and procedures.
**Qualifications**:
**Education**
- Successful completion of grade 12 plus a certificate in office administration or an acceptable combination of education, training, and experience.
**Experience**
- Recent and considerable experience in providing a full range of administrative support and services to a team, including a senior manager (recent defined as within the last 4 years, and significant usually defined as 2-3 years of experience).
- Experience in the use of Microsoft Office suite of software, including Word, Excel, PowerPoint, and Outlook.

- Knowledge of administrative services, processes, and procedures.
- Knowledge of general principles and practices regarding document and file management, including tracking approaches and systems, confidentiality, and security.
**Abilities**
- Ability to analyze information and data to develop correspondence, presentations, and other material.
- Ability to arrange meetings, engagement sessions, conferences, etc. including all aspects of logistics, documents, and materials, etc.
- Ability to work independently, proactively and with a ‘hands on’ approach to meet deadlines and accomplish assigned tasks and projects with mínimal supervision.
- Ability to adapt to changing priorities and activities in a fast-paced environment.
