**Title**:Inventory Control and Administrative Assistant
**Reports to**:Store Owner
**Pay range**: Training probationary period $20 - $22, full salary $24
**Overall Purpose**:
Document, input, organize, control, and evaluate inventory management systems and programs as well as daily administrative tasks..
**Main duties & Responsibilities**:
**Inventory**:
- Oversee the digital Inventory management systems to improve and maintain accurate stock levels and movement
- Assist in receiving and accurately recording daily deliveries and transfers
- Coordinate with the Inventory team to efficiently manage the storage, distribution, and movement of the physical inventory
- Ensure the accurate and timely transition of the digital inventory between the retail shop and the web store.
- Assist with doing stock counts for inventory records which includes counting, recording, analyzing, investigating and reporting discrepancies to the owner.
- Generate reports and investigate/reconcile inventory discrepancies
- Reconcile digital inventory database with the physical inventory
- Communicate with suppliers regarding product or shipment issues
- Coordinate with retail management team and buyers to ensure consistent, optimal stock levels for both the retail store and web store
- Assist with stocking the retail shelves and organizing the physical inventory as needed
**Administrative Assistance**:
- Oversee the organization, digitization and filing of all invoices, receipts and other financial or operational documents
- Log daily retail and e-commerce sales reports and reconciliations of all sales channels
- In addition to sales reports, provide expense and inventory reports to the management team
- Provide general clerical and operational support to the management team
- Manage operational documents and files related to taxes, fees, utilities, services, maintenance, expenses and governmental and ensure that all contracts, licenses, agreements and payments are up-to-date
- Oversee the B2B program by receiving orders, process payments and coordinate with the inventory team to pull and deliver stock according to company procedure
- Provide general administrative tasks such as taking meeting minutes, creating documents, filing, ordering office supplies, etc.
- Execute accurate data entry
- Maintain an organized and clean shared office space
- Assist with market research and analysis
- Assist external bookkeeper and accountant by providing financial documents, receipts and reports as needed
**Employment Requirements**:
**Qualifications**:
- Experience with POS management system
- Proficient with Google Workspace/ Google Docs Suite, Microsoft Office skills
- Possess excellent oral and written communication and fundamental arithmetic skills
- Maintain pace, focus and accuracy while working independently
- Ability to multitask and set priorities
- Basic accounting and bookkeeping principles an asset
**Education/Certifications/Licenses**:
College diploma or post secondary education.
**Experience**:
1 year in administration role
1 year experience in inventory management for retail environment
**Working Conditions**: Work onsite in an exterior office space at the retail shop
