Administrative Coordinator

**Job Overview**
**Responsibilities**
- Manage daily administrative tasks, including data entry, filing, and maintaining organized records.
- Support front desk operations, welcoming visitors and managing appointments.
- Maintain confidentiality of sensitive information in accordance with company policies.
- Manage clinician calendars, session scheduling/confirmations, and waitlist tracking
- Coordinate client intake; obtain consents and set up secure digital folders.
- Maintain QuickBooks Online: customers/items, invoicing, receipts, deposits; month-end matching.
- Reconcile timesheets to invoices; prepare payroll inputs (hours, categories, travel) for approval.
- Support with social media and website management
**Requirements**:
- Proven experience in an administrative role, preferably within a medical setting with working knowledge of PHIPA and secure handling of personal health information.
- Proficiency in QuickBooks, Adobe, media software.
- Strong computer skills with the ability to learn new software quickly.
- Excellent organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
- Effective communication skills, both verbal and written, with a focus on customer support. French Language is an asset.
- Experience with clerical duties such as typing, filing, and data entry is essential.
- 2+ years in admin/bookkeeping/clinic operations or similar.
- Clear criminal background check and two professional references
**Job Type**: Part-time
Pay: $35,000.00-$53,000.00 per year
Expected hours: 10 - 20 per week
