**The Opportunity**
We are seeking a **Project Administrator** to support the scheduling and administration of all Life Safety System inspections and related contracts. This role requires strong communication and coordination skills, as it involves liaising with internal teams, subcontractors, and various contract partners to ensure timely execution and documentation of services.
**What You’ll Do**
**Schedule Administration & Distribution**
- Update, maintain, and communicate the master schedule for all Life Safety inspections and contract work to internal and external parties as required.
- Coordinate and track orientations and specialized site access requirements with stakeholders at all levels.
- Ensure all employees and subcontractors maintain current and valid security clearances.
**Financial & Administrative Support**
- Open work orders and projects as required to support operations.
- Issue invoices, purchase orders, and support accurate job costing activities.
- Support field technicians with forms, permit bookings, and reports.
- Use Jonas and Excel to track costs, identify issues, and report insights.
- Help ensure accurate and compliant project closeout packages.
**Project Controls Support**
- Work closely with the PM to track and reconcile change orders.
- Maintain accurate and updated records for all project-related change orders, RFIs, shop drawings, and other related project documents.
**Administrative & Contract Support**:
- Provide ongoing support to the PM for all contract and administrative tasks.
- Offer overflow support for Allied’s administrative team as required.
**What You Bring to the Team**
- Previous experience in a project administration or coordination role, preferably in construction or Life Safety services.
- Strong **technology skills**: Word, Excel, PDFs + troubleshooting support
- Clear and professional **written and verbal communication**:
- Highly organized, proactive, and resourceful—nothing falls through the cracks.
- Friendly, team-first attitude with a commitment to high-quality work
- Experience with **Jonas Construction Software** is a strong asset.
- Motivated, detail-oriented, and deadline-driven
