As a Receptionist / Administrative Assistant, you will be the first point of contact for our customers and play a critical role in ensuring smooth day-to-day operations. You will manage a variety of administrative tasks, provide exceptional customer service, and support office staff as needed

**Duties and responsibilities**
- **Reception Duties**:

- Answer the reception phone promptly and professionally.
- Greet and welcome all customers entering the business with a friendly demeanor.
- Ensure the highest level of exceptional customer service at all times.
- **Administrative Tasks**:

- Create and manage invoices for completed jobs.
- Handle shipping supply-only orders and order office materials and supplies with approval.
- Manage simple inbound requests from intake to sale.
- Complete service calls and create work orders for the installation department.
- Collaborate with the estimating department to obtain quotes and release small digital work orders to the production department.
- Communicate service timelines to clients and coordinate with the install manager to keep clients informed.
- **Accounts Receivable and Payable**:

- Generate, and review invoices.
- Manage accounts receivable, including initiating the collection process for payments from key clients.
- Adhere to corporate client requirements and follow up within appropriate timelines.
- Serve as a backup for accounts payable tasks, including posting invoices, creating POs, and other duties as needed.

**Who are we looking for?**
- High school diploma or equivalent; associate degree or relevant certification preferred.
- Proven experience in a receptionist or administrative role, preferably in a similar industry.
- Excellent communication and customer service skills.
- Strong organizational and multitasking abilities.
- Proficiency in google suite.
- Basic understanding of accounts receivable and payable processes.
- Ability to handle sensitive information with discretion.
- Familiarity with office equipment and procedures.
- Able to work in Office Monday to Friday (dayshift)

Pay: $35,000.00-$40,000.00 per year

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 2 years (required)
- Administrative experience: 2 years (required)

Work Location: In person

Expected start date: 2025-04-21
