**Office Administrator**
**Responsibilities**:
- Assist and support Branch Staff with all Service Department needs
- Handle service-related phone calls while taking detailed information pertinent to various service requests.
- Input information and create accurate work orders utilizing our proprietary Customer Relationship Management program.
- Create detailed service reports and costing breakdowns for completed work orders
- Issue invoices and credit memos in a timely and accurate manner
- Proofreading and formatting of service-related quotations and reports
- Managing online reports of completed work
- Provide daily updates and correspondence with client base as needed
- Providing administrative support to Project Managers/Superintendents in the start-up, completion, and close-out of all capital projects.
- Entering pertinent information into our POS and updating project information as available
- Creating and assisting with customer contracts
- Creating and maintaining Gantt charts and other scheduling documentation
- Administering necessary out of town arrangements for work force, such as hotel, flight and room and board payment
- Preparing notes as directed, for any meetings involving the department, including those with Foremen and Workers, taking minutes during these meetings, compiling those minutes and sending out copies to all participants.
- Working with the Finance department on basic payroll duties (Data entry, verifying and submitting payroll to head office)
- Opening and sorting mail
- Matching packing slips and coding invoices
- Preparing and scheduling courier and other postal correspondence
- Reconciling, organizing and filing invoices and statements
- Answering the phone
- General office maintenance
- Other day to day office operations
**Skills/ Qualifications**
- High school diploma a must
- 3 - 5 years’ office experience a plus
- Accuracy and attention to detail is a must
- Good oral and written communication skills
- Ability to understand and carry out instructions provided in written, oral, or diagram form and deal with problems in a creative manner. Must be a problem solver
- Ability to relate well to all kinds of people, can build constructive and effective relationships using diplomacy and tact
- Self-motivated with the ability to work at fast paced professional level
- Computer literacy with proficiency in MS Office (Excel, Word, Outlook
