Mercedes-Benz Kitchener Waterloo is looking for a **Compliance Administrator**
The Sales Administrator supports the Sales Department in the One Price, One Touch model of selling cars. This role operates as a compliance specialist ensuring that the paperwork, delivery and other activities regarding the sale of the vehicle have been initiated or completed.
**Job Duties**:
- Monitor and evaluate training programs to ensure they are current and effective.
- Manage vehicle contracts once initiated by Brand Specialists and ensure timely filing of them.
- Ensure warranty and other F&I contracts are completed and filed.
- Ensure that funding documents are fully completed and signed by customers, then sent to the relevant funding company for processing.
- Ensure that Retail Delivery Registration (RDR) takes place for each vehicle sold. This is registering the vehicle to the manufacturer.
- Register sold vehicles.
- Ensure that licensing for sold vehicles takes place in a timely manner.
- Stocking cars in DMS and other systems once they have arrived on site. (Inventory Team will do the purchasing and the flooring of these vehicles).
- Key tagging - this involves entering the keys for all vehicles into the system and onto the keyboard.
- Manage the Garage Register for both new and used vehicles.
- Schedule deliveries of sold vehicles to customers.
- Schedule PDIs for all new vehicle inventory.
- Once deals are complete, the paperwork needs to be scanned to the Deals Team at Head Office. This must happen within 48 hours of the car being delivered.
- Confirm that deposit has been received for sold vehicles.
- Maintains complete knowledge of and complies with company and departmental policies, procedures and standards.
- Maintains a positive working relationship with team members and management in a team environment.
**Ideal Requirements**
- Post-secondary degree/diploma is preferred, but not mandatory.
- Minimum 2-year experience in a comparable role is required.
- Experience dealing in a multi-company/location environment is required.
- Experience working in a deadline driven environment (i.e. able to meet tight timelines during month end closing).
- Ability to self-review their own work
- Possess the ability to build strong relationships with GMs, Department Managers, Head Office Accounting Staff, Brand Specialists, Business Managers and external vendors.
- Detail oriented, organized, efficient and able to manage a large amount of paperwork.
- Excellent interpersonal and customer service skills.
- Must be able to communicate in verbal and written English.
- Strong aptitude for numbers and strong analytical skills.
- Ability to work efficiently and effectively under pressure with simultaneous deadlines.
- Ability to maintain confidentiality of pertinent data.
- Proficiency with CDK and/or Reynolds & Reynolds (or other DMS) is preferred but not mandatory.
- Intermediate level Excel knowledge is required.
