Six Nations Polytechnic (SNP) is a unique Indigenous Institute, recognized by community, government, and institutions of higher learning, as a Centre of Excellence for Indigenous Knowledge. SNP offers postsecondary, secondary, trades education and training. SNP has formal partnerships with nine publicly funded Ontario Universities and Colleges and collaborates with six Ontario-based Indigenous owned and controlled post-secondary Institutes.
At the SNP-STEAM ACADEMY, students earn a high school diploma, an industry-recognized college diploma, and gain relevant work experience in their field of study. The school creates a seamless program for students to acquire the academic, technical, and workplace skills and knowledge that employers need.
**Function & Overview**
Reporting to the Principal - STEAM Academy, the Office Administrator will ensure the efficient and effective operation of the STEAM Academy office in accordance with established policies and procedures. The Office Administrator will be responsible for maintaining a welcoming, safe, and healthy spaces for staff, students, and visitors. The Office Administrator is required to perform all duties consistent with the governance values and operating policies of Six Nations Polytechnic (SNP) while fostering positive relations with staff, students, stakeholders, and the community; contributing to a culturally supportive teaching, learning and work environment consistent with Hodinǫshǫ:nih/Rotinonhson:ni values of Ga’nigohi:yo:/Kanikoriio (Respect and the Good Mind).
**Duties**
The duties of the Office Administrator include, without limitation:
**General Administration**
- Assisting and supporting the daily office activities and operations;
- Performing administrative activities associated with student services, as required;
- Coordinating and preparing reports, meeting minutes, letters, bulletins, posters, and other communications as requested;
- Maintaining the confidentiality of information, documentation, and files;
- Completing and coordinating room booking requests and ensuring all necessary equipment and room configurations are completed;
- Maintaining Outlook calendars for Administration, appointments and meetings;
- Assisting in the set-up and coordination of business meetings, training sessions, presentations, luncheons, as requested;
- Coordinating and arranging transportation for out of school field trips and events;
- Providing administrative support for the contract management process, including procurement and delivery of goods and services;
- Processing invoices, expense claims, petty cash, and travel advances for assigned staff;
- Monitoring expenses and budget variances;
- Reviewing and analyzing special reports, summarizing information, and advising, as required;
- Setting-up and maintaining information filing systems, both electronic and/or paper that may include staff and student records, attendance, financial and vendor files, and defining and following procedures for retention, protection, retrieval, transfer, and disposal;
- Ensuring evacuation routes and fire drill data are posted, maintained and up to date;
- Collecting and appropriately managing any direct mail, voice messages, packages, faxes, and other incoming information;
- Overseeing the maintenance of office equipment and supplies and reporting issues;
- Completing monthly orders for office supplies and other materials as required;
- Providing administrative fill-in and support functions to other units within SNP, as required;
- Promoting, participating in, and maintaining a positive climate for learning, dealing sensitively, respectfully, and fairly with persons from diverse backgrounds; and
- Other related duties, as required.
**Qualifications**
**Education & Experience**
- College diploma in business, office administration, or a related field;
- Minimum 3 years’ office administration experience; and
- Experience working in an education setting is considered an asset.
**Knowledge, Skills & Abilities**
- Ability to establish and maintain a positive and professional rapport with students, staff, parents/guardians, and community stakeholders that creates respect and adherence to the most stringent ethical and professional standards;
- Proven problem solving and organizational skills with the ability to effectively multi-task and prioritize;
- Working knowledge of school office systems that include SIS, LMS, School Messenger, and other systems, is considered an asset;
- Ability to work with mínimal supervision with discretion;
- Awareness of Six Nations community diverse culture;
- Willingness to take additional training and professional development;
- A general and current knowledge of Hodinǫshǫ:nih history, culture, values, contemporary issues, community priorities, and stakeholders;
- Excellent communication skills with an emphasis on written and verbal expression (i.e., faultless spelling and grammar, and professional style);
